## How Scooper engagements work

Every engagement follows the same shape, regardless of vertical. We do not start coding without a paid diagnostic. We do not start a build without a signed-off KPI.

### Two-week paid diagnostic

$9,500. Operator interviews, workflow shadowing, and three real examples of the bottleneck worked end-to-end. By day 10 you have a written scope, a price, and a signed-off KPI. The diagnostic fee credits toward any build.

### Build sprint

Three to six weeks, from $14k. Senior operators in your repository and your Slack. KPI signed off in writing before code is written. If we miss the number, the next sprint is on us. Code, prompts, and evals ship into your repo.

### Handoff with SOPs

Two rounds of post-launch tuning included. Then your team owns it. We hand over the code, the runbook, the eval harness, and the SOPs. No retainer required. No vendor lock-in.

### Embedded Operator (post-build only)

$18k/month. Three-month minimum, then month-to-month. One senior operator in your weekly exec sync for the next 90 days of decisions. Available only after we have shipped a build together.

## Operations we rebuild

These are the 5 cross-functional engagement categories. Each industry-specific page below is one or more of these patterns applied to a vertical context.

### Finance & Back-Office

URL: https://www.scooperai.com/what-we-fix/finance-back-office

**Lead:** AP, AR, reconciliation, month-end. The function that absorbs every new headcount you hire — until AI carries the rote work.

When a finance team has hired three people in a year and is still behind, the bottleneck is almost never the people. It is the connective tissue between four pieces of software that nobody planned. We rebuild the connective tissue, drop AI in the two places it earns its keep, and leave you with a team that runs at 5x the volume on the same headcount.

**What you get:**

- AI runs AP at 5x volume with the same two people
- Auto-categorized, auto-reconciled, audit-ready
- Month-end close from 9 days to 2
- No new SaaS subscriptions added
- Eval harness on every classifier we ship

**Pricing:** 3–4 week build

### Revenue Operations

URL: https://www.scooperai.com/what-we-fix/revenue-operations

**Lead:** Pipeline, CRM hygiene, lead routing, and follow-up motions. Where AI closes the loop between data your CRM has and decisions your team should be making.

The honest math on RevOps: most teams do not need a new CRM. They need their existing CRM to do things it was never designed for. We layer AI on top of HubSpot, Salesforce, Pipedrive — whatever you live in — so the reps never change tools and the pipeline finally tells the truth. The thinking happens in the background. The CRM keeps the receipts.

**What you get:**

- Pipeline doubled in 9 weeks · 71% less manual upkeep
- AI-native enrichment + lead scoring rebuilt into your CRM
- Sales workflows that classify, route, score, and follow up
- Reps never leave the CRM — same UI, smarter brain
- Forecast number stays in one place. Trust stays intact.

**Pricing:** Monthly retainer option

### Supply & Procurement

URL: https://www.scooperai.com/what-we-fix/supply-procurement

**Lead:** Supplier follow-up, PO matching, inventory sync. The mess hiding behind every DTC and hardware company at scale — and exactly the judgment work AI is now ready for.

Supply ops is the function CFOs forget about until the year-end audit. Three-way PO matching is mostly judgment. Supplier follow-up is mostly tone. Inventory reconciliation is mostly chasing other peoples' updates. All three are textbook AI use cases the moment you write the rules down. We do the writing-down, then ship.

**What you get:**

- +40% supplier-side volume on the same headcount
- 3-way PO match with exception handling, AI-triaged escalations
- Inventory ↔ ops ↔ finance, in one source of truth
- Supplier follow-up drafts the email, your buyer hits send
- Audit-ready exception logs from day one

**Pricing:** 2–3 week sprint

### Custom Ops Builds

URL: https://www.scooperai.com/what-we-fix/custom-ops-builds

**Lead:** The bottleneck nobody else has. Vertical workflows, document intelligence, the thing your team complains about every Monday — built AI-native from day one.

Some operations do not have a category. They have a Monday-morning complaint. A spreadsheet that has grown three sheets too many. A document type your industry handles and nobody else does. These are the engagements where we get to do our best work — because the answer was never going to be a SaaS subscription.

**What you get:**

- Outcome-priced, signed off in writing before we start
- Document intelligence for contracts, claims, specs
- Internal tools your team will actually open
- Code, prompts, and evals in your repo at handoff
- No vendor lock-in, no opaque models

**Pricing:** Scoped per engagement

### Natural Heroes

URL: https://www.scooperai.com/work/natural-heroes

**Industry:** CPG · Mid-Market

**Engagement type:** Finance & Back-Office

**Headline:** We built an AI invoice agent that reads their inbox and posts to the ledger. The admin team is half what it was.

**Lede:** A fast-growing CPG brand was hiring into AP every time revenue stepped up. We built an agent that reads inboxes, parses invoices, maps the right ledger codes, and posts them into the system — then layered on payment-due flagging and approval triage. Half the admin team, twenty-five hours back every week, two-day month-end close.

**Headline outcomes:**

- **25 hrs** — saved every week
- **50%** — admin team headcount cut
- **2 days** — month-end close

> We came to them with one process to fix. They pointed out three others during the diagnostic and shipped the ones that made sense. The AP team isn't buried in invoices anymore.
> — Founder · Natural Heroes

#### The setup

Natural Heroes was growing into the kind of operating shape that punishes growth. Volume climbed, and so did the invoices — supplier bills, marketing partners, 3PL receipts, recurring SaaS, ad-hoc cards. The admin team was sorting them by hand: pulling attachments from inboxes, typing line items into the accounting system, choosing ledger codes from memory, and chasing approvals over Slack.

It worked. It was also the wrong place to be hiring. Every new revenue dollar brought in more invoices, not more time. The next hire was going to be another set of hands on the same manual workflow.

#### What we built

We started in the one place every invoice already lived: email. We built an AP agent that watches the inboxes the team uses for vendor mail. When an invoice arrives, the agent identifies the message type, pulls and parses the attachment, matches the vendor against the existing supplier record, picks the correct ledger codes from the patterns the team had already established, and posts the entry into the accounting system ready for approval.

Then we layered the next tier on top. The agent now also flags invoices that are coming due, surfaces ones that fall outside historical norms — price, vendor, line items — and routes approvals to the right person without anyone copy-pasting context into Slack.

Nothing leaves the company without a human still saying yes. The agent does the work that should never have been manual. The team does the work that always should have been theirs.

#### What changed

The AP function is now half the size it used to be. The people who stayed are no longer doing data entry — they are doing what AP was supposed to be: catching the things that should not happen and approving the things that should.

Month-end close went from more than a week to two days. Roughly twenty-five hours each week are no longer spent handling invoices by hand. None of this happened on the first try — there were edge cases the agent learned over the first few weeks, and a handful of vendor formats that needed a second pass. The team caught most of them before we did.

#### Where it goes from here

The same agent now handles statement reconciliation and quarterly close prep, with vendor onboarding next on the roadmap. The pattern keeps compounding because the team is no longer the bottleneck — they review what the agent surfaces and decide what runs.

That is the only way an AP function scales without growing.

### Leverage With Media

URL: https://www.scooperai.com/work/leverage-with-media

**Industry:** PR agency · mid-market

**Engagement type:** Custom Ops Builds

**Headline:** We built an AI reporting agent that reads their tools and writes the client report every week.

**Lede:** Leverage With Media is a PR firm. Every client gets a weekly report — coverage, mentions, performance, what shifted and what did not. The team used to assemble those reports by hand: logging into half a dozen tools, exporting numbers, screenshotting clips, stitching decks together late Sunday night. We replaced the assembly step with an agent. The reports now draft themselves, the team reviews them, and they ship on time every week.

**Headline outcomes:**

- **12 hrs** — saved every week
- **100%** — weekly reports automated
- **Same day** — data → client-ready report

> The Monday-morning scramble just does not happen anymore. The team starts the week reviewing reports instead of building them from scratch.
> — Founder · Leverage With Media

#### The setup

Weekly client reporting is the operating heartbeat of a PR firm. It is also the part of the week that grows linearly with the client list — every additional client is another set of analytics dashboards to pull from, another batch of coverage clips to log, another deck to format and send.

At Leverage With Media, the team was spending most of Sunday and Monday morning preparing the week's reports. The work was high-skill enough that it could not be handed off to junior staff without quality dropping, and low-leverage enough that it kept the senior team away from the work they were actually hired to do.

#### What we built

We built an AI reporting agent that sits across the team's tools. It pulls coverage from their media monitoring stack, performance numbers from analytics platforms, social signals from each channel, and brand mentions from the press-tracking service. Then it drafts the weekly client report in the firm's own template — narrative, highlights, the gaps worth flagging, the data tables — and prepares the email that ships it.

The team reviews each report before it goes out. The agent has learned the difference between a coverage win that deserves a callout and a passing mention that should sit in the appendix; over the first few weeks the senior team trained it on the calls it was getting wrong. Now the edits are mostly cosmetic.

Nothing leaves the agency without a human approving it. The agent does the assembly. The team does the framing.

#### What changed

Roughly twelve hours each week are no longer spent stitching reports together. Every client gets their report on schedule — the Monday-morning scramble simply does not happen anymore. The senior team gets that time back for the actual PR work: relationship building, pitch craft, strategy with clients.

The first month was bumpy. The agent did not yet know which client cared about share-of-voice vs reach, which one wanted competitor mentions called out, which one wanted the data flat and quiet. By month two it had absorbed enough of the team's judgment that the drafts needed less work than the originals had.

#### Where it goes from here

The same agent now handles monthly executive summaries on top of the weekly cadence, and is being extended to draft the proactive recommendations that used to live in the senior team's heads. The pattern keeps compounding because the firm is no longer hiring against client growth — they are hiring against the work that actually requires senior judgment.

### 4D-Finance

URL: https://www.scooperai.com/work/4d-finance

**Industry:** Finance ops · mid-market

**Engagement type:** Custom Ops Builds

**Headline:** We built their Ops O.S. so one KAM now runs what used to take five.

**Lede:** 4D-Finance runs key-account work that lives or dies on follow-through. We rebuilt their operating layer in three weeks — automating the parts of the day that were never supposed to be manual — so each key account manager can now hold more accounts without the work fraying.

**Headline outcomes:**

- **4×** — accounts per KAM
- **20+** — accounts under one operator
- **3 wk** — Ops O.S. shipped from scratch

> They built our Ops O.S. in three weeks. What I notice now is our KAMs aren't tired the same way — the work that used to eat the day just runs in the background.
> — Founder · 4D-Finance

#### The setup

4D-Finance is a finance-ops practice serving mid-market clients. Each key account manager carries the operational load of their book: status checks, follow-ups, reconciliations, document chase, escalations to specialist teams. The work had grown up around the team, not the other way around — every KAM had a different way of doing the same things, and nothing in the toolchain reflected how they actually worked.

Adding a new client meant adding a new KAM. That is not a business model that scales.

#### What we built

We treated the operating layer as a system, not a checklist. In three weeks we shipped what they now call their Ops O.S. — a set of automations that absorbs every recurring task that does not need a human in the loop.

Document intake and routing flows across email, drive folders, and partner portals. Status updates trigger off the actual state of the work, not someone remembering to check. Reconciliation drafts get pushed to the KAM for review instead of pulled by them at month-end. Escalation packages build automatically when an account hits a defined exception. And every KAM now sees a single dashboard with only what needs them, in priority order.

The point was never to replace the KAM. It was to remove every task that was not really a KAM task — so the senior judgment they were hired for is what they actually spend their day on.

#### What changed

Each KAM now holds roughly four times the accounts they used to, with twenty-plus accounts under a single operator becoming the working shape. The first month was the noisy one — exception patterns the system hadn't seen yet, KAMs adjusting to reviewing instead of doing. By month two the rhythm had settled.

The Ops O.S. is still extending. As new categories of work surface — new partner types, new exception patterns — they get added to the same operating layer, not handed off to a person.

#### Where it goes from here

The team is now extending the system into client-facing automation: status updates and document requests that go straight to the client, with the KAM looped in only on exception. The compounding effect is the whole point — every new automation pulls a recurring cost off the operator and turns it into a system the firm owns.

#### AI Automation for PR Agencies

URL: https://www.scooperai.com/ai-automation-for-pr-agencies

Last updated: Apr 29, 2026

**Subhead:** Cut research and reporting hours so account teams pitch instead of paste — newsjacking moves in hours, not days.

**Description:** AI automation for PR agencies — newsjacking, media-list enrichment, AI pitch drafts, and coverage reports. 8–12 hours back per account, per week.

**Keywords:** AI for PR firms, automate media outreach, PR agency AI tools

##### Where the hours go

- **Junior teams disappear into media-list builds.** Hours every week spent re-keying journalist data from Muck Rack and Cision exports into client decks. That is not where your margin lives.
- **Newsjacking opportunities die in the inbox.** A reactive story window is six hours. Senior account leads see the alert at 9am, the brief takes a day, the pitch goes out tomorrow. Tomorrow is too late.
- **Coverage reports eat a full day per client per month.** Every retainer ends the month with someone screenshotting links into a deck. The work is real. The hours are not the right ones to bill.
- **Pitch personalization at scale is impossible without bodies.** Personalizing 80 pitches to 80 reporter beats is the difference between a 3% and a 22% reply rate. Nobody has the team to do it by hand.

##### What we build

- **Newsjacking agent.** Google Alerts and trend feeds → AI brief → daily Slack message per client with three pitchable angles, sourced and dated.
- **Media-list enrichment.** Muck Rack or Cision exports get cleaned, deduped, and enriched with recent coverage, beats, and pitch-readiness flags.
- **Journalist-to-pitch matcher.** Past coverage corpus + your client one-pager → ranked list of reporters most likely to bite, with a one-line "why this reporter."
- **AI-drafted personalized pitches.** Each draft references the journalist's last three relevant pieces and your client angle. Account leads review, edit, and send.
- **Coverage tracker + client report.** Auto-pulls hits, AVE/EMV, sentiment, and message penetration. Renders into your existing PDF or Notion template.
- **Retainer-hour dashboard.** Tracks scope creep against SOW in real time. Flags when an account is 80% through monthly hours so you raise it before the invoice.
- **Press-release distribution + follow-up.** Distribution tracking with a polite, on-tone follow-up sequence to non-responders. The buyer hits send.

##### Tools we plug into

Muck Rack, Cision, Prowly, Notion, Slack, Google Alerts, HubSpot, Gmail.

##### Outcomes / ROI

> Account teams reclaim 8–12 hours/week. Newsjacking response time drops from days to hours. Junior bandwidth gets pointed at strategy, not screenshots.

Headline numbers:

- **8–12h** — reclaimed per account / week
- **4×** — faster newsjacking response
- **30%** — lift in pitch reply rate

##### Real engagement (anonymized)

A 14-person boutique PR firm running 22 accounts brought us in to "fix the reporting day." Two-week diagnostic surfaced the bigger leak — newsjacking. We shipped the daily brief agent first, the report builder second. Inside a quarter, the firm onboarded four new retainers without a single new hire.

##### Frequently asked questions

**Q: What can a PR agency actually automate with AI?**

A: The reliable wins are research, list-building, draft pitches, coverage scraping, and report assembly. Anything where the rules already live in the heads of your seniors but never got written down. Strategy, relationships, and the actual pitch send stay human.

**Q: Will AI-written pitches kill our reply rate?**

A: Templated AI pitches do. Pitches grounded in a reporter's last three pieces, written in your account lead's tone, and reviewed before send do not — they usually beat your current baseline because the personalization scales.

**Q: Is this just ChatGPT, or something more?**

A: A frontier model is one component. The system around it — your media list, the coverage corpus, your tone-of-voice samples, the eval harness, the integrations — is the part we build. The model on its own would not survive your QA.

**Q: How do you handle confidential client work?**

A: Per-client data partitioning, no cross-client model training, encryption in transit and at rest. Anything embargoed stays out of the agent. Your DPAs flow through to us; we sign yours, not ours.

**Q: How long until we see this in our day-to-day?**

A: Two-week paid diagnostic, then a 3–4 week build for one or two agents. Most agencies have a working newsjacking brief in week three and a full reporting flow live by week six.

#### AI Automation for Marketing Agencies

URL: https://www.scooperai.com/ai-automation-for-marketing-agencies

Last updated: Apr 29, 2026

**Subhead:** Kill reporting nights and scope creep. Build it once, run it for every client.

**Description:** AI automation for marketing agencies — cross-channel reporting, anomaly alerts, content briefs, ad variants, scope tracking. Less screenshotting, more strategy.

**Keywords:** AI for digital agencies, agency reporting automation, AI marketing ops

##### Where the hours go

- **End-of-month is 3–5 days of copy-paste.** GA4, Meta, Google Ads, GSC, plus whatever the client cares about. Every report is a new tab and a fresh manual export. The AM does it. The strategist pretends not to see it.
- **Scope creep eats margin in silence.** Two extra "quick" requests a week, multiplied by twelve months, multiplied by every client — that is the year you lost money and never found it.
- **Content production hits a junior-team ceiling.** There is a max number of briefs, drafts, and edits a writer can produce per week. You have hit it. Hiring is slow. Quality drops if you push.
- **Onboarding is a Notion doc and a prayer.** Asset gathering takes three weeks per client because nobody owns the chase. The kickoff meeting always reveals five missing pieces.

##### What we build

- **Cross-channel reporting agent.** GA4 + Meta + Google Ads + GSC into your branded PDF, slide deck, or Looker board. Same numbers your strategist would have pulled, in the same template.
- **Anomaly alerts to Slack.** CPA spikes, ROAS dips, traffic cliffs — caught and posted to the client channel before the client notices. Comes with a one-paragraph "what likely happened."
- **AI content brief generator.** Keyword + SERP scrape → outline + entity coverage + competitor angle. Writers get briefs that took an hour to assemble in three minutes.
- **Ad copy variants with brand voice.** Trained on your last 18 months of winning ad creative per client. Generates 20+ variants with hook + body + CTA, scored against historical performance.
- **Scope creep tracker.** Time logs vs SOW deliverables, in real time. Flags when a client is over scope and drafts the polite "let's talk about expanding" email.
- **Client onboarding agent.** Intake form → asset request emails → kickoff doc with everything pre-filled. Three-week onboarding becomes one.
- **Cross-platform attribution stitching.** A unified view across the platforms that all claim 100% of the credit. Your strategist gets a defensible single number.

##### Tools we plug into

GA4, Google Ads, Meta Ads, GSC, HubSpot, Looker, Slack, Notion, ClickUp, Airtable.

##### Outcomes / ROI

> Reporting time down 70%. Junior team focuses on strategy, not screenshots. Scope creep stops being an end-of-quarter surprise.

Headline numbers:

- **70%** — reporting time recovered
- **3 → 1** — weeks to onboard a client
- **5×** — content briefs per writer

##### Real engagement (anonymized)

A 28-person performance agency was billing $4.2M ARR and clearing margin you would not write home about. Diagnostic identified reporting and scope leakage as 31% of total team hours. Eight weeks later: reporting cut by 70%, scope tracker live, and the next quarterly P&L showed margin up nine points. No staff cuts.

##### Frequently asked questions

**Q: Will this replace our team or extend it?**

A: Extend. We have never shipped an automation that ended in a layoff. The reliable pattern is the same headcount producing 2–3× the strategic output, because the rote work stops eating the strategist's afternoon.

**Q: Can it pull from our specific reporting templates?**

A: Yes. We start from your existing PDF, deck, or Looker template. The agent fills it. Clients should not be able to tell which reports are AI-assembled and which are not.

**Q: How do we handle multiple client accounts cleanly?**

A: Per-client data partitions, separate credentials vaults, named workspaces. Reports are scoped to a client. Nothing crosses. Audit logs show who accessed what.

**Q: What about white-labeling for our clients?**

A: Default. Your logo, your brand voice, your domain. Clients see your agency. The only place Scooper appears is on our invoice to you.

**Q: Will it work with our existing PM stack — ClickUp, Notion, Asana?**

A: Yes. Reporting and onboarding agents plug into whichever PM tool your AMs already live in. We do not migrate you off your stack.

#### AI Automation for SEO Agencies

URL: https://www.scooperai.com/ai-automation-for-seo-agencies

Last updated: Apr 29, 2026

**Subhead:** Audit, brief, and report at 10× speed without losing the senior judgment that wins rankings.

**Description:** AI automation for SEO agencies — automated audits, content briefs, internal-link suggestions, GSC anomaly alerts. 10× output without diluting quality.

**Keywords:** AI for SEO agencies, automate SEO audits, programmatic SEO automation

##### Where the hours go

- **Onboarding audits take three days per client.** A senior SEO walks the site, runs Screaming Frog, writes the deck. By the time the deck lands, the client is already nervous about the engagement.
- **Brief production blocks the writers.** Every blog post needs an outline, target keywords, entity coverage, internal links. Junior strategists are doing it on Friday afternoons.
- **Keyword research at scale is slow and expensive.** Pulling intent-clustered keyword maps for a new vertical takes a half-week and a stack of credits. Half the value is buried in cluster decisions nobody has time to make.
- **GSC anomalies surface after rankings already dropped.** A query group losing impressions is a leading indicator. By the time someone notices in the monthly report, the position drop already happened.

##### What we build

- **Automated technical audit.** Screaming Frog + Ahrefs + custom checks → AI summary deck with severity-ranked issues, root causes, and a 30-day fix plan. Branded.
- **Content brief generator.** SERP scrape → outline + entity coverage + question targeting + competitor gaps. Briefs that match your senior strategist's template, in three minutes.
- **Programmatic SEO templates.** Like the page you are reading. We build the data pipeline, the page template, and the deduplication safeguards so you can ship 50–500 pages cleanly.
- **Internal link suggestion engine.** Reads your site, ranks orphan pages, and surfaces anchor + target opportunities your editor can ship in a one-hour batch each week.
- **GSC anomaly detection.** Daily query-cluster monitoring with Slack alerts when a page or cluster loses impressions or position outside the noise band.
- **Monthly ranking report.** Per-client reports on tracked keywords, page-level wins and losses, and a one-paragraph "what changed" written by an AI that read your last three months of work.
- **Backlink prospect enrichment.** Your prospect lists get ranked on relevance, DR, topical authority, and outreach-readiness. Your link-builder works the top tier instead of the whole pile.

##### Tools we plug into

Ahrefs, SEMrush, GSC, GA4, Screaming Frog, Surfer, Frase, Clearscope.

##### Outcomes / ROI

> Onboarding audit goes from three days to three hours. Brief output 5× with the same writers. GSC anomalies caught the day they happen.

Headline numbers:

- **3 days → 3 hrs** — onboarding audit
- **5×** — brief output per writer
- **24h** — anomaly detection lag

##### Real engagement (anonymized)

A nine-person SEO firm with 31 retainers had a six-week onboarding queue and was losing deals to faster competitors. We shipped the audit agent first, brief generator second. Onboarding queue cleared in two weeks. Two months later, the same nine people were running 38 retainers without burnout reports in standup.

##### Frequently asked questions

**Q: Does AI-written content actually rank?**

A: AI-only content does not rank reliably. AI-assisted content where a strategist owns the brief, the angle, and the editorial pass does — and it ranks at the same rate as your hand-written content while costing a third as much per piece.

**Q: How do you avoid Google's spam policies?**

A: We do not ship pure-AI mass-publish playbooks. Programmatic templates use real first-party data, vary copy meaningfully across pages, and apply editorial review to anything client-facing. The pages you ship pass HCU scrutiny because they are actually useful.

**Q: Can this work with our existing audit checklist?**

A: Yes. We start from your checklist. The agent runs it, produces your usual deck, and flags anything outside its training so a senior can take a look. No checklist replacement.

**Q: What is the implementation timeline?**

A: Two-week diagnostic, 3–5 weeks build per agent. Audit agent and brief generator are usually live by week four. Anomaly detection and ranking reports follow in weeks five and six.

**Q: Does it integrate with Ahrefs and Screaming Frog?**

A: Yes — both. Ahrefs API for keyword and backlink data, Screaming Frog as a scheduled crawler. We orchestrate, dedupe, and write into your reporting layer.

#### AI Automation for Recruiting and Staffing Agencies

URL: https://www.scooperai.com/ai-automation-for-recruiting-agencies

Last updated: Apr 29, 2026

**Subhead:** More placements per recruiter without more recruiters.

**Description:** AI automation for recruiting and staffing agencies — resume parsing, candidate sourcing, screener bots, ATS hygiene, scheduling. Recruiters double placements.

**Keywords:** AI for staffing agencies, recruiter automation, AI sourcing tools

##### Where the hours go

- **Resume screening eats half the day.** Three hundred applicants for one role, and your senior recruiter is the one filtering them. The good ones get missed because the bottom of the pile never gets read.
- **Candidate ghosting from slow follow-up.** A passive candidate replies. Your recruiter is in interviews. Two days pass. The candidate is now interviewing somewhere else and you never knew.
- **ATS hygiene is a tax on every recruiter.** After every call, fifteen minutes of typing into Bullhorn or Greenhouse. Half of it does not happen. The ATS is a 60% accurate snapshot of reality.
- **Passive outreach at scale is impossible by hand.** Four hundred LinkedIn messages a week per recruiter is the difference between hitting and missing quota. Nobody has the bandwidth to actually personalize them.

##### What we build

- **Resume parser → ATS auto-fill.** Inbound resumes get parsed, normalized, and written into your ATS as structured fields. Recruiters open a clean record, not a PDF.
- **Candidate sourcing agent.** LinkedIn + GitHub + portfolio scrape against a JD → enriched, ranked shortlist with match reasoning. Recruiters work the top 20, not the top 200.
- **Async screening interview bot.** Voice or chat-based first-screen with role-specific questions. Candidates can do it at 9pm on a Sunday. You read transcripts, not schedule them.
- **Candidate follow-up sequences.** Personalized outreach grounded in the candidate's background and the role. Replies route to the right recruiter immediately.
- **JD generator from intake calls.** Hiring-manager intake transcript → polished JD with must-haves, nice-to-haves, and screener questions. Day-zero of a search starts faster.
- **Interview scheduling agent.** Calendar coordination across panel + candidate + client without the back-and-forth. Three-day scheduling becomes same-day.
- **Pipeline + placement dashboard.** Per-recruiter, per-client placement velocity and pipeline health. The number on Monday matches what is in the ATS.

##### Tools we plug into

Bullhorn, Greenhouse, Lever, JobAdder, LinkedIn Recruiter, Calendly, Loxo.

##### Outcomes / ROI

> Recruiters double placements. ATS hygiene goes from 60% to 95%. The senior recruiter stops reading resumes and starts closing.

Headline numbers:

- **2×** — placements per recruiter
- **60% → 95%** — ATS hygiene
- **24h** — avg first-touch on inbound

##### Real engagement (anonymized)

A 12-person tech-recruiting boutique was doing $2.8M GP and burning out two recruiters a year. Diagnostic: 41% of senior-recruiter time was screening and ATS data entry. We shipped the resume parser, screener bot, and a scheduling agent. Six months later, the same team was running 2.1× placements and the burnout rate dropped to zero.

##### Frequently asked questions

**Q: Can this work with our ATS?**

A: If your ATS is Bullhorn, Greenhouse, Lever, JobAdder, or Loxo, yes — we have shipped against all of them. Less common ATSs require an extra week of integration scoping; we will tell you in the diagnostic.

**Q: How do you keep candidate data clean?**

A: Resume parsing runs against your ATS field schema, with confidence scores. Anything below threshold goes to a recruiter with the model's reasoning attached. No silent guesses, no field drift.

**Q: Is screening done ethically and unbiased?**

A: Screening agents do not score candidates against demographic signals. We disable obvious proxies (school prestige, name patterns) and run quarterly bias audits against the model's outputs. The shortlist is a recommendation, not a decision.

**Q: Will candidates know they are talking to AI?**

A: Yes. Disclosure is non-negotiable in async screening — it is required in several jurisdictions and your candidates will trust you more for it. The bot identifies as an AI assistant; a recruiter's name is on the follow-up.

**Q: How fast can we go live?**

A: Two-week diagnostic, then 3–4 week build. Resume parser is usually day-one of build. Sourcing agent and screener bot follow inside the same sprint.

Last updated: Apr 29, 2026

**Subhead:** Recapture billable hours lost to admin and document chaos.

**Description:** AI automation for law firms — intake bots, document summarization, time-entry assistants, conflict checks. Associates reclaim 5–10 billable hours a week.

**Keywords:** AI for lawyers, legal AI automation, law firm AI tools

##### Where the hours go

- **Client intake calls eat associate time.** A 30-minute intake gets booked, then becomes 45 minutes of typing into the practice-management tool. Multiply by every new matter. That is real billable time lost.
- **Document review is mind-numbing and slow.** A 600-page discovery production lands at 4pm. Two associates pull all-nighters extracting facts. The same shape of work, every month.
- **Time tracking is two weeks behind reality.** Billable entries get reconstructed from calendars and email on Friday. Some get missed. Some get under-counted. The realization rate quietly degrades.
- **Conflict checks delay matter opening.** A new matter waits for conflicts. The conflicts queue waits for a paralegal. The client wonders why the engagement letter has not arrived.

##### What we build

- **Intake agent (web + voice).** Qualifies prospects, books consults, and writes a structured intake summary into your practice-management tool before the associate joins.
- **Document summarization.** Discovery, contracts, depositions → fact-extracted summaries with citations to page and line. Associates start from a draft, not from page one.
- **Time-entry assistant.** Calendar + email + Slack → drafted billable entries with matter codes. Associates approve and submit. Realization rate goes up because nothing gets missed.
- **Conflict-check automation.** Cross-references new parties against existing matters, ownership trees, and prior representations. Returns a clean pass or a flagged report in minutes.
- **Client status updates.** Drafted weekly status emails per matter, grounded in the docket and recent activity. Partners review and send. Clients stop calling for updates.
- **Court filing prep + deadline tracking.** Filing checklists per court and matter type, with deadline calendars and pre-flight document checks. Nothing gets filed late because someone forgot.
- **Engagement letter automation.** New matter → draft engagement letter from your firm template, with rates, scope, and conflicts disposition pre-filled. Partner signs.

##### Tools we plug into

Clio, MyCase, PracticePanther, NetDocuments, iManage, Smokeball.

##### Outcomes / ROI

> Associates reclaim 5–10 billable hours a week. Intake-to-engagement time drops 60%. Realization rate climbs because every minute is captured.

Headline numbers:

- **5–10 hrs** — billable / associate / week
- **60%** — faster intake-to-engagement
- **+8 pts** — realization rate

##### Real engagement (anonymized)

A 22-attorney litigation boutique ran a six-week build. Intake agent, document summarization, and a time-entry assistant. The realization rate went from 78% to 86% in the first quarter. Associate time on admin dropped from 31% to 14%. The managing partner described it as "the only software the associates have not complained about."

##### Frequently asked questions

**Q: Is this confidential and privileged-safe?**

A: Privileged data stays in your environment. We use private model deployments where required, no cross-tenant training, and full audit logs. Your DPAs and engagement-letter language flow through to us; we do not water them down.

**Q: Can AI replace paralegal work?**

A: No. It removes the parts of paralegal work that make paralegals quit — repetitive document chase, redaction grunt work, calendar tetris. The judgment work stays with humans, and they get more of it.

**Q: How is client data handled?**

A: Per-matter partitioning, encryption in transit and at rest, retention policies tied to your engagement letters. Data deletion on matter close is automated and logged.

**Q: Does it integrate with our practice management software?**

A: Clio, MyCase, PracticePanther, Smokeball — yes. iManage and NetDocuments — yes via standard APIs. Less common systems get scoped during the diagnostic; we have not failed to integrate one yet.

**Q: What about state bar AI guidance?**

A: We track ABA Model Rule 1.1 commentary and state bar guidance, including the recent guidance from California, New York, and Florida. Anything that looks like UPL or improper delegation is structurally blocked in the agent. You stay clean.

#### AI Automation for Personal Injury Law Firms

URL: https://www.scooperai.com/ai-automation-for-personal-injury-lawyers

Last updated: Apr 29, 2026

**Subhead:** Sign more cases and move them faster from intake to settlement.

**Description:** AI automation for personal injury law firms — 24/7 intake, medical records summarization, demand letters, settlement packets. Sign more, settle faster.

**Keywords:** PI law firm AI, intake automation for PI lawyers, AI for personal injury

##### Where the hours go

- **Lead response time defines case volume.** A PI lead that waits 30 minutes is a lead the next firm signed. Your intake calls can be busy and the website lead just sits in the queue. That is your sign-rate ceiling.
- **Medical record review takes weeks.** A box of records lands. A paralegal works through it. The demand can't be drafted until the paralegal finishes. The case sits.
- **Status calls dominate paralegal time.** Half of paralegal hours are answering "any update on my case?" The answer rarely changes day to day. The call still happens.
- **Demand letter prep is manual data assembly.** Medical bills, treatment narrative, lost wages, pain-and-suffering rationale — pulled together into a demand by a paralegal who has done it 200 times.

##### What we build

- **24/7 intake bot (web + SMS + voice).** Qualifies a PI lead in under 60 seconds, captures crash details, books the consult, and routes the file to the assigned paralegal — even at 2am on a Sunday.
- **Medical records summarization.** OCR + extraction → structured timeline of treatments, providers, billed amounts, and severity flags. Paralegal review goes from days to hours.
- **Case milestone SMS + email updates.** Clients get auto-updates at filing, demand sent, settlement offered. Paralegal phones get quieter. Client satisfaction goes up.
- **Demand letter draft generator.** Pulls medicals, bills, lost wages, and your firm's narrative templates into a complete first-draft demand. Attorney edits and signs.
- **Settlement prep packet.** Auto-assembled settlement breakdown, lien tracker, distribution preview. Disbursement day takes hours, not days.
- **Lead-to-signed dashboard.** Per-source conversion, time-to-sign, drop-off reasons. The marketing dollars finally have a defensible sign-rate number behind them.
- **Referral source attribution.** Tracks signed cases back to ad spend, doctor referrals, and prior client referrals. The next quarter's budget is data, not vibes.

##### Tools we plug into

Filevine, Litify, CASEpeer, Lead Docket, CallRail, Smith.ai.

##### Outcomes / ROI

> Sign rate up 30% from speed-to-lead. Demand letters go out in days, not weeks. Paralegals stop answering status calls and start advancing cases.

Headline numbers:

- **+30%** — sign rate
- **<60s** — first response 24/7
- **5×** — faster demand prep

##### Real engagement (anonymized)

A regional PI firm signing 60 cases a month bought ad volume that should have been signing 100. The bottleneck was after-hours leads and 48-hour paralegal response. We shipped the intake bot in week three and the demand-letter generator in week six. Sign rate went from 14% to 19%. Same ad spend, +35 cases a month.

##### Frequently asked questions

**Q: How fast does the intake bot respond?**

A: Under 60 seconds, 24/7, on web, SMS, and voice. The bot qualifies the case, captures the crash details, and books a follow-up — before a competing firm has noticed the lead exists.

**Q: Is medical record handling HIPAA compliant?**

A: Yes. We deploy in HIPAA-eligible environments with BAAs in place, no cross-tenant training, and full audit logs of every record access. Your covered-entity obligations flow through cleanly.

**Q: Can we customize qualification criteria?**

A: Yes. SOL by jurisdiction, case type filters (auto, premises, product, med-mal), liability red flags, comparative-fault thresholds — all configurable. The diagnostic captures your sign-or-pass rules and codifies them.

**Q: What about Spanish-speaking clients?**

A: Bilingual intake out of the box. The bot detects language preference on the first message and continues in Spanish, with the case file written in English for the paralegal.

**Q: Will it work with Filevine, Litify, or CASEpeer?**

A: Yes — we have shipped against all three. The intake bot writes a structured matter into your case-management tool with the assigned attorney and paralegal already routed.

#### AI Automation for Immigration Law Firms

URL: https://www.scooperai.com/ai-automation-for-immigration-lawyers

Last updated: Apr 29, 2026

**Subhead:** Standardize intake and document collection across complex case types — in every language your clients speak.

**Description:** AI automation for immigration law firms — multi-language intake, document chase, form pre-fill, USCIS tracking. Document collection cycle drops in half.

**Keywords:** AI for immigration law firms, immigration intake automation

##### Where the hours go

- **Document collection takes months.** Birth certificates, passports, marriage records, employment verification — clients send pieces, paralegals chase, the case sits. The chase is the case.
- **Form filling is repetitive and error-prone.** I-130, I-485, H-1B, N-400 — same client data into different forms with different gotchas. One typo on Part 3 and the case bounces.
- **Multi-language client communication adds overhead.** Clients speak Mandarin, Spanish, Portuguese, Arabic, Tagalog. Paralegals do not. Translation slows every status update.
- **Status updates clog the inbox.** Receipt notice, biometrics, EAD, RFE, approval — every step is a client question. Repeating the same answer 60 times a week is most of the day.

##### What we build

- **Multi-language intake agent.** Web + WhatsApp intake in the client's language. Detects visa pathway, captures the case file, books the consult — all written in English for the paralegal.
- **Document checklist + chase.** Per-pathway checklist with auto-reminders, document-type validation, and a portal that shows the client exactly what is missing.
- **Form pre-fill from intake data.** I-130, I-485, H-1B, N-400 → pre-filled forms grounded in the intake record. The paralegal reviews. The error rate plummets.
- **Client portal status updates.** Auto-pulled USCIS status with multi-language notifications. Client knows the case moved before they call to ask.
- **USCIS receipt + RFE tracking.** Receipt parsing, RFE deadline tracking, response checklists. Nothing slips because the deadline calendar is the source of truth.
- **Document translation workflow.** Foreign-language documents → certified-translation workflow with attorney sign-off. The paralegal stops being the translator.
- **Renewal + deadline reminders.** Per-client calendar of green-card renewals, EAD renewals, citizenship eligibility windows. Outreach 90/60/30 days out.

##### Tools we plug into

Docketwise, INSZoom, LawLogix, Clio, WhatsApp Business.

##### Outcomes / ROI

> Document collection cycle drops from eight weeks to three. Form errors near zero. Paralegals work cases instead of chasing PDFs.

Headline numbers:

- **8 → 3 wk** — document collection cycle
- **~0** — form-fill errors
- **5+** — languages out of the box

##### Real engagement (anonymized)

A family-immigration firm with 400 active matters had a four-month average from retainer to filing. We shipped the multi-language intake agent and the document-chase portal first. Filing time dropped to ten weeks. Same paralegal headcount, 38% more matters opened in the same quarter.

##### Frequently asked questions

**Q: Can it handle multiple visa categories?**

A: Yes — family-based, employment-based, humanitarian, and naturalization. Per-pathway checklists, per-form pre-fills, and per-category deadline rules. New categories take a week to add once we have the firm's template forms.

**Q: How are confidential immigration documents secured?**

A: Encrypted storage, per-matter access scopes, no cross-tenant training, full audit logs. Documents flagged as sensitive (asylum declarations, A-files) get extra access controls.

**Q: Does it support Spanish, Mandarin, and other languages?**

A: Spanish, Mandarin, Portuguese, Arabic, Tagalog, and Vietnamese are validated out of the box. Other languages get a week of validation in the diagnostic.

**Q: Can paralegals override AI suggestions?**

A: Always. The agent produces drafts. The paralegal owns the file. Every override is logged so the model gets better over time, but no decision is automatic where a human signature is required.

**Q: Will it work with Docketwise or INSZoom?**

A: Yes. We have shipped against both, plus Clio and LawLogix. The agent writes back into your existing case-management tool — we do not migrate you.

#### AI Automation for Accounting Firms

URL: https://www.scooperai.com/ai-automation-for-accounting-firms

Last updated: Apr 29, 2026

**Subhead:** Survive tax season with the team you have.

**Description:** AI automation for accounting firms — document chase, reconciliation anomalies, tax workflow tracking, KYC. Document chase time down 80% in busy season.

**Keywords:** AI for CPAs, accounting firm automation, AI for tax preparation

##### Where the hours go

- **Document chase from clients is constant noise.** Same email twelve times: "still need the K-1 and the 1099-MISC." Senior staff spend February reminding clients of things they already promised in December.
- **Bank reconciliations eat junior staff hours.** Routine matching, exception research, write-off coding — work that follows clear rules but never gets the rules written down.
- **Client communication during busy season is unmanageable.** Inbound calls, portal pings, urgent texts. The partner answers a question, then forgets to log it, then gets asked again next week.
- **Tax workflow status is opaque to partners.** Where is every return? Probably in someone's queue. Probably waiting on something. The portfolio view does not exist until somebody pulls it together by hand.

##### What we build

- **Document collection agent.** Per-client checklist by tax year, with portal reminders, email nudges, and a dashboard of who has sent what. Senior staff stop being the chase.
- **Reconciliation anomaly detection.** Flags duplicate transactions, GL misclassifications, and unusual variances. Junior staff start with a triaged list, not a 4,000-row export.
- **Tax workflow status tracker.** Real-time view of every return in flight — by client, by preparer, by waiting-on. Partners stop asking. The dashboard answers.
- **Client onboarding + KYC.** New-client intake with engagement letter, conflict check, and CDD/KYC document collection. Onboarding goes from a Notion checklist to a guided flow.
- **Bookkeeping monthly close runner.** Closes-by-checklist with exception flagging, cross-period variance alerts, and a partner sign-off packet. Bookkeepers stop reinventing the wheel.
- **Quarterly estimated tax reminders.** Per-client Q1–Q4 reminders with calculations, payment links, and confirmation logging. Penalties from missed estimates go away.
- **Engagement letter + e-sign automation.** Annual renewal letters auto-drafted with current rates and scope, sent for e-sign, logged against the engagement record.

##### Tools we plug into

QuickBooks, Xero, Bill.com, Karbon, TaxDome, Canopy, Drake, CCH Axcess.

##### Outcomes / ROI

> Document chase time down 80%. Partners see a real-time tax-season pipeline for the first time. The team works the return, not the inbox.

Headline numbers:

- **80%** — less doc-chase time
- **real-time** — tax pipeline
- **+1 week** — avg return turnaround

##### Real engagement (anonymized)

A 16-CPA firm with 1,400 returns came to us in October before the spring rush. We shipped document collection, the workflow tracker, and recon-anomaly flagging by January 15. The partner described the next April as "the first one I did not lose ten pounds in." Same headcount, +180 returns, fewer extensions filed under duress.

##### Frequently asked questions

**Q: Is client financial data secure?**

A: Encrypted in transit and at rest, no cross-tenant training, SOC 2 Type II controls. Sensitive document categories (W-2, K-1, bank statements) get extra access scoping. Full audit logs of every retrieval.

**Q: Will this integrate with QuickBooks Online and Xero?**

A: Yes — both, plus QuickBooks Desktop where applicable. We read for reconciliation work and write back to your accounting system only where the workflow requires it.

**Q: Can it handle both bookkeeping and tax workflows?**

A: Yes. Bookkeeping uses the close runner and reconciliation agent. Tax uses the workflow tracker, document chase, and engagement letter automation. Same platform, different recipes.

**Q: What is the busy-season ROI?**

A: Most firms see 20–35% capacity recovery during busy season — usually 1–2 extra returns per preparer per week. The doc-chase savings show up in February. The workflow visibility shows up immediately.

**Q: How does it work with TaxDome and Karbon?**

A: We integrate with both as the system of record for client communication and workflow. The agent reads, writes, and triggers tasks inside TaxDome or Karbon — your team's workflow does not change.

#### AI Automation for Insurance Agencies

URL: https://www.scooperai.com/ai-automation-for-insurance-agencies

Last updated: Apr 29, 2026

**Subhead:** Quote faster, renew earlier, service smarter.

**Description:** AI automation for insurance agencies — quote intake, COIs in seconds, renewal triggers, policy comparisons. Quote turnaround drops from days to hours.

**Keywords:** AI for insurance brokers, P&C agency automation, insurance agent AI

##### Where the hours go

- **Quote turnaround time loses deals.** A prospect asks for a quote. Three days later you reply. Two days ago they bought from someone faster. Your hit rate has nothing to do with your pricing.
- **COIs are produced one by one on demand.** A landlord asks for a COI. A CSR drops everything to produce it. Multiply by every tenant, every contractor, every audit week.
- **Renewals slip without proactive outreach.** 90 days is the right window. Most agencies catch 60. Some catch 30. The renewal-shopped book is the book that walks.
- **Policy comparison is a manual spreadsheet job.** Current vs proposed, line by line, by hand, every time. The senior producer does it. The producer does not love doing it.

##### What we build

- **Quote intake agent.** Web or call intake captures applicant data, pre-fills carrier portals, and routes to the right producer. Quote turnaround goes from days to hours.
- **COI generator on demand.** Self-serve COI portal for clients. Pulls policy data, applies your COI rules, generates the certificate, and emails it. CSRs stop being the bottleneck.
- **Renewal opportunity detector.** 90/60/30-day workflows per book. Drafted outreach grounded in the policy history. Producers see a queue of renewals, not a calendar surprise.
- **Policy comparison generator.** Current vs proposed coverage with limits, exclusions, and price diff in your firm's template. Producer reviews and sends.
- **Claims status updates.** Auto-fetched claims status with proactive client comms. Clients stop calling for "any update?" because the answer is already in their inbox.
- **Lead routing by line of business.** Inbound leads scored and routed to commercial, personal, life, or health based on signals. The right producer sees the lead first.
- **Cross-sell trigger workflows.** Auto-only client → home cross-sell prompt. Home client → umbrella prompt. Drafted, scheduled, owned by the producer.

##### Tools we plug into

Applied Epic, AMS360, EZLynx, HawkSoft, HubSpot, PL Rating.

##### Outcomes / ROI

> Quote turnaround drops from days to hours. COIs go from 15 minutes to 30 seconds. Renewal retention climbs because the outreach actually happens.

Headline numbers:

- **15 min → 30s** — COI turnaround
- **24 hr** — avg quote response
- **+5 pts** — renewal retention

##### Real engagement (anonymized)

A regional P&C agency writing $40M in premium had 14 producers and a six-person service team. Diagnostic showed 38% of service-team time was COIs and renewal admin. We shipped the COI portal first, then renewals. Three months later: COIs self-serve at 84%, renewal retention up six points, two service hires deferred.

##### Frequently asked questions

**Q: Does it work with our agency management system?**

A: Applied Epic, AMS360, EZLynx, HawkSoft — yes. We read and write through the standard APIs. Less common AMSs get scoped during the diagnostic, and we have not failed to integrate one yet.

**Q: How do you handle compliance and licensing?**

A: Producer-of-record assignment is enforced before any quote leaves the system. Licensing-state checks run automatically. The bot does not bind coverage; producers do, with full audit trails.

**Q: Can it pull from carrier portals?**

A: Yes — through carrier APIs where available, and through structured RPA where not. Quote turnaround on bound carriers usually drops by 60–80% inside the first month.

**Q: What about commercial vs personal lines?**

A: Different recipes, same platform. Commercial gets BOR letters, COI portal, and renewal outreach with experience-mod data. Personal gets faster quote intake, cross-sell prompts, and self-serve COIs for landlords.

**Q: How fast can we go live?**

A: Two-week diagnostic, then 3–5 week build. COI portal usually ships in week three. Renewal triggers and quote intake follow in weeks four and five.

#### AI Automation for Financial Advisors and RIAs

URL: https://www.scooperai.com/ai-automation-for-financial-advisors

Last updated: Apr 29, 2026

**Subhead:** More client meetings, less admin, fully compliance-aware.

**Description:** AI automation for RIAs and advisors — meeting prep briefs, CRM auto-update, compliance pre-flight, custom reports. 25% more meetings without new hires.

**Keywords:** AI for RIAs, wealth management AI, financial advisor automation

##### Where the hours go

- **Meeting prep eats prime hours every morning.** A 9am meeting needs the CRM history, the portfolio snapshot, the recent news, and the client's last email. Every advisor assembles it by hand at 8:45.
- **Compliance review is a bottleneck.** Every email and marketing piece sits in a queue. The CCO is one person. The deals do not move until they move. Sometimes they do not move.
- **Client reporting is rigid and quarterly.** A client asks "how are we doing on the IRA?" The answer takes the operations team an hour to assemble. The client wanted to know now.
- **New client onboarding takes weeks.** KYC, risk profile, custodian paperwork, ACAT transfers — every piece is a separate workflow with its own delay. The first three weeks of a relationship are paperwork.

##### What we build

- **Meeting prep brief generator.** CRM + portfolio + recent news + last meeting notes → one-page brief in the advisor's inbox the morning of. Every meeting starts on the front foot.
- **Meeting note → CRM update.** Recorded or transcribed meeting → structured CRM update with follow-up tasks, action items, and the next-meeting agenda. Advisors stop typing after sessions.
- **Compliance pre-flight check.** Drafted email or marketing piece runs through a compliance-aware pre-flight before it hits the CCO queue. Risky language flagged with the rule cited. Review queue gets shorter.
- **On-demand client portfolio reports.** Client-friendly portfolio summaries generated on demand from your portfolio system. Advisors can answer the "how are we doing" question in minutes, not hours.
- **Onboarding workflow.** KYC, risk profile, custodian paperwork, and transfer initiation in one guided flow. New-client onboarding goes from three weeks to one.
- **Rebalancing alert system.** Daily portfolio drift checks against the IPS bands. Alerts the advisor before the threshold is crossed, with a drafted client comm.
- **AUM-segmented lead nurture.** Different drip cadences and content per AUM tier. The right prospect gets the right attention at the right time.

##### Tools we plug into

Redtail, Wealthbox, Orion, Black Diamond, eMoney, RightCapital.

##### Outcomes / ROI

> Advisors take 25% more meetings a week. Compliance review goes from days to hours. The CCO finally gets a queue they can keep up with.

Headline numbers:

- **+25%** — meetings per advisor
- **days → hrs** — compliance review
- **3 → 1 wk** — new client onboarding

##### Real engagement (anonymized)

A $1.2B AUM RIA with 11 advisors had a six-month wait list and a CCO who was the bottleneck for every outgoing email. We shipped the meeting-brief agent and the compliance pre-flight first. Inside a quarter, advisors logged 27% more meetings, compliance review averaged 4 hours instead of 3 days, and the firm hired the next advisor without the lead-time anxiety.

##### Frequently asked questions

**Q: Is this SEC/FINRA compliant?**

A: Yes. Communication archiving, supervision logs, advertising rule alignment, and books-and-records requirements are all baked into the workflow. We work with your CCO and your compliance counsel; we do not replace either.

**Q: How do you handle PII and account data?**

A: Encrypted in transit and at rest, no cross-tenant training, custodian credentials in a vault, full audit logs of every retrieval. Reg S-P aligned out of the box.

**Q: Will it integrate with our CRM and portfolio tools?**

A: Redtail, Wealthbox, Orion, Black Diamond, eMoney, RightCapital — yes. We have shipped against all of them. Custodian integrations (Schwab, Fidelity, Pershing) work through the standard APIs.

**Q: Can it handle multiple custodians?**

A: Yes. Most of our RIA clients have two or three. The portfolio-aggregation layer normalizes positions and performance across custodians so the advisor sees one view.

**Q: How fast does the build go live?**

A: Two-week diagnostic, then 4–6 week build. Meeting briefs typically ship in week three; compliance pre-flight in week four; on-demand reports by week six.

#### AI Automation for Realtors and Brokerages

URL: https://www.scooperai.com/ai-automation-for-realtors

Last updated: Apr 29, 2026

**Subhead:** Win on speed-to-lead and never let a transaction slip.

**Description:** AI automation for realtors — instant lead response, listing description generators, transaction coordination, neighborhood reports. Speed-to-lead under 60 seconds.

**Keywords:** AI for real estate agents, brokerage automation, real estate AI tools

##### Where the hours go

- **Lead response under 5 minutes is the difference between closing and losing.** Zillow leads die fast. The agent in the field misses three. The team's sign rate is whatever response time the slowest agent has.
- **Listing description writing is a per-property tax.** Every new listing needs MLS copy, social posts, email blasts, and a single-property landing page. Same data, six places, every time.
- **Transaction coordination is 50+ touchpoints per deal.** From accepted offer to close: inspection, appraisal, lender, title, attorney, walk-through. Every step is an email, a follow-up, and a deadline.
- **Drip campaigns die after a month.** Past clients, sphere-of-influence, dead leads. The "stay in touch" plan is real for the first 30 days. After that, the agent is back on the phone.

##### What we build

- **Speed-to-lead bot (web + SMS).** Inbound lead → SMS in under 60 seconds, qualifying questions, calendar booking. The agent calls the warm ones, not the cold ones.
- **Listing description + social generator.** MLS data → polished MLS copy, three social posts, an email blast, and a single-property landing page. New listing day takes minutes, not hours.
- **Transaction coordinator agent.** Tracks every deadline, drafts every check-in email, chases every missing document. The TC stops being a calendar; the TC becomes an editor.
- **Long-term nurture with relevance triggers.** Past clients, sphere-of-influence, archived leads. Drip cadence keyed on neighborhood activity, rate moves, and life events. Stays warm for years.
- **Neighborhood market report.** Zip-code or neighborhood-level reports with comps, sold trends, and inventory — auto-emailed to homeowners and warm leads. Branded, monthly.
- **Showing scheduling automation.** Buyer-side showing requests routed to listing agents, calendar-coordinated, confirmed by SMS. Two-day scheduling cycles become same-day.
- **Past-client referral nurture.** 90-day, 6-month, 1-year touch-points after close with personalized notes and referral asks. The pipeline of repeat business stops being random.

##### Tools we plug into

Follow Up Boss, Chime, Lofty, BoomTown, kvCORE, DocuSign, MLS.

##### Outcomes / ROI

> Speed-to-lead under 60 seconds. Transaction coordination time cut in half. Past-client referrals become a measurable channel instead of a hopeful one.

Headline numbers:

- **<60s** — lead response, 24/7
- **50%** — less TC time per deal
- **+30%** — past-client referrals

##### Real engagement (anonymized)

A 19-agent brokerage in a high-volume market was paying for Zillow leads at $48 each and converting at 2.1%. We shipped the speed-to-lead bot in week three. Conversion went to 5.4% with the same ad spend. Six months later, the brokerage added the TC agent and freed two FTE for new business.

##### Frequently asked questions

**Q: Will the AI bot turn off cold leads?**

A: Templated bots do. Bots that ask two qualifying questions in your team's tone, handle objections, and pass the warm ones to a human inside three minutes — those convert better than your current voicemail.

**Q: How do you handle MLS data?**

A: RESO Web API or RETS feed integration. The agent reads listings on a regulated cadence, respects MLS terms-of-use, and generates marketing copy from the structured fields.

**Q: Can it work for a single agent or only large teams?**

A: Both. The minimum useful build for a solo agent is the speed-to-lead bot and listing-content generator. Brokerage rollout adds TC, nurture, and reporting on top.

**Q: What about brokerage-wide rollout?**

A: We build a single platform with per-team and per-agent partitions. The brokerage gets reporting at the top; agents see their own pipelines and clients underneath.

**Q: Will it integrate with Follow Up Boss or kvCORE?**

A: Yes — both, plus Chime, Lofty, and BoomTown. Lead routing, contact records, and pipeline updates write back into your existing CRM.

#### AI Automation for Property Management Companies

URL: https://www.scooperai.com/ai-automation-for-property-management

Last updated: Apr 29, 2026

**Subhead:** Tenants get instant answers. Owners get cleaner reporting. Staff stops drowning.

**Description:** AI automation for property management — 24/7 tenant chat, maintenance dispatch, lease abstracting, owner reports. After-hours calls handled. Reports in hours.

**Keywords:** AI for property managers, property management automation

##### Where the hours go

- **Tenant maintenance requests pile up after hours.** A leak at 8pm goes to voicemail. The tenant texts the manager directly. The manager forgets. The leak is bigger by morning.
- **Lease admin is paper-heavy.** Every new lease comes back as a PDF. The deadlines, renewal dates, deposits, and clauses live somewhere in the document. Pulling them out is a manual job.
- **Rent reminders and late fees go unsent.** The first-of-the-month workflow exists in someone's head. When that person is on vacation, the workflow does not run.
- **Owner reports take days each month.** Per-property income, expenses, occupancy, work orders. Pulled from the PM software, formatted into the owner's preferred template, sent. Repeat 200 times.

##### What we build

- **24/7 tenant chatbot.** Maintenance triage, FAQ, payment status, and lease questions. Resolves the routine, escalates the urgent, books human help when needed.
- **Maintenance dispatch routing.** Triaged work orders routed to the right vendor by trade, location, and urgency. Vendor confirms; tenant is notified.
- **Lease abstracting from PDFs.** Drop a signed lease in. Out comes a structured abstract: term, rent, escalations, deposits, options, restrictions. Goes into your PM system.
- **Rent reminders + late fee workflows.** Per-property workflows for rent due, grace period, late notice, and late fee posting. Runs every month without human attention.
- **Owner monthly report generator.** Per-property income, expenses, work orders, occupancy. Branded PDF in the owner's inbox on the same day every month.
- **Vendor follow-up + invoice intake.** Vendor invoice → matched to work order → posted to property accounting. Vendor follow-up drafted when work is delayed.
- **Move-in/move-out checklists.** Inspection checklists, deposit-release math, and walk-through documentation. Disputes drop because the record is real-time.

##### Tools we plug into

Buildium, AppFolio, Yardi, Propertyware, RentManager.

##### Outcomes / ROI

> After-hours tenant calls handled automatically. Owner reports go out in hours, not days. Maintenance triage stops being the manager's favorite distraction.

Headline numbers:

- **24/7** — tenant chat live
- **days → hrs** — owner reports
- **–40%** — after-hours manager calls

##### Real engagement (anonymized)

A property manager with 1,200 doors across 18 properties had two managers fielding 280 tenant calls a week. We shipped the tenant chatbot and lease-abstract agent in five weeks. Inbound calls dropped 41%, owner reports went out two days earlier each month, and the next 400-door portfolio acquisition did not require a new hire.

##### Frequently asked questions

**Q: How are emergency maintenance requests escalated?**

A: Emergencies are detected from keywords (leak, fire, no-heat in winter, lockout) and from sentiment cues, then routed to a 24/7 on-call human within seconds — the bot never holds an emergency in its queue.

**Q: Can it handle multiple property portfolios?**

A: Yes. Per-portfolio data partitions, branded comms per portfolio, owner reports per portfolio. One platform, many books.

**Q: Does it work for residential and commercial?**

A: Yes — different recipes. Residential gets tenant chat, rent reminders, maintenance dispatch. Commercial adds lease abstracting, CAM reconciliation, and tenant-improvement workflows.

**Q: What is the tenant experience like?**

A: SMS-first or web chat with the bot identifying as a virtual assistant. The bot resolves routine items in under a minute. For anything else, the tenant is on the phone with a human inside three minutes.

**Q: Will it integrate with Buildium, AppFolio, or Yardi?**

A: Yes — all three. Lease records, tenant ledgers, work orders, and owner reporting all write back into your PM system. We do not replace it.

#### AI Automation for Mortgage Brokers and Loan Officers

URL: https://www.scooperai.com/ai-automation-for-mortgage-brokers

Last updated: Apr 29, 2026

**Subhead:** Close more loans without buying back your nights.

**Description:** AI automation for mortgage brokers — application intake, doc chase, status updates, refi triggers. Doc cycle cut by 60% and rate alerts surface refi wins.

**Keywords:** AI for mortgage brokers, loan officer automation, mortgage AI tools

##### Where the hours go

- **Document chase from borrowers is constant.** W-2s, pay stubs, bank statements, tax returns. The borrower sends one. The processor reminds. Two weeks pass. The lock expires.
- **Status update calls are nonstop.** The borrower wants to know where they are. The realtor wants to know where they are. Underwriting is where they are. Every hour is a status call.
- **Refi opportunities slip after rates change.** Rates drop 50bps. Twelve clients in your book are refi candidates. By the time you call them, two have already gone elsewhere.
- **Long sale cycles need real nurture.** A pre-approved buyer might be 90 days from offer. The follow-up cadence is up to the LO. Sometimes it happens. Sometimes the buyer reappears with a new lender.

##### What we build

- **Loan application intake bot.** Borrower-facing intake that captures application data, qualifying answers, and consent forms. Pre-fills the LOS so the LO opens a complete file.
- **Document collection agent.** Per-loan checklist with smart reminders, document validation, and a borrower portal showing exactly what is missing. Cycle drops by 60%.
- **Borrower status portal.** Auto-updated status with proactive notifications at lock, conditional approval, clear-to-close. The borrower stops calling because the answer is already there.
- **Rate alert + refi opportunity detector.** Daily monitoring of your past book against current rates. Refi candidates surface with drafted outreach the same day rates move.
- **Past-client refi outreach.** Personalized refi messaging when rates clear a savings threshold. Client gets a one-tap "tell me more" link.
- **Realtor referral partner nurture.** Per-realtor performance reporting, drafted check-ins, and joint-marketing prompts. Top referral partners stay top.
- **Compliance-aware email templates.** Pre-approved templates with TRID, RESPA, and fair-lending guardrails. Every outbound is on-rule.

##### Tools we plug into

Encompass, Calyx, LendingPad, Velocify, Total Expert.

##### Outcomes / ROI

> Doc chase cycle cut 60%. Refi opportunities surfaced automatically. Realtor partners get the data that keeps them sending you deals.

Headline numbers:

- **–60%** — doc chase cycle
- **same-day** — refi alerts
- **+25%** — past-client recapture

##### Real engagement (anonymized)

An 11-LO mortgage shop closing $290M annually was capping out on processor capacity. Diagnostic showed 38% of processor time on doc chase and status calls. We shipped the doc-chase agent first; refi alerts followed. Same processors, +22% loan volume, and recapture on the existing book climbed from 11% to 27%.

##### Frequently asked questions

**Q: Does it integrate with Encompass?**

A: Yes — and Calyx and LendingPad. Application data, document status, and milestone updates write back to your LOS. Borrower portal pulls live status from there.

**Q: How is borrower data secured?**

A: Encrypted in transit and at rest, no cross-tenant training, GLBA-aligned controls, and SOC 2 Type II baseline. Borrower documents stay in your environment.

**Q: Can it handle TRID compliance language?**

A: Yes. Outbound borrower comms run through a TRID-aware pre-flight; risky language flagged with rule citations. The LO's compliance officer signs off on the templates once and the system holds the line.

**Q: Is it a fit for solo brokers?**

A: The minimum build for a solo broker is the doc-chase agent and refi alerts. Most solos see a same-quarter ROI on those two alone.

**Q: How fast does it go live?**

A: Two-week diagnostic, 3–5 week build. Doc chase usually ships first, then borrower portal, then refi alerts. Realtor nurture and compliance templates follow.

#### AI Automation for Roofing Companies

URL: https://www.scooperai.com/ai-automation-for-roofers

Last updated: Apr 29, 2026

**Subhead:** Win more jobs from storm leads, supplements, and insurance work.

**Description:** AI automation for roofers — instant SMS lead response, aerial-measure estimates, supplement automation, review flows. First-response rate near 100%.

**Keywords:** AI for roofing companies, roofing automation, AI roofing software

##### Where the hours go

- **Storm season leads explode and only first responders win.** A hailstorm hits. Six roofers are on the same street. The first one to respond signs the homeowner. Speed is the entire game.
- **Insurance supplements are a paperwork nightmare.** The carrier scope misses items. Supplementing is manual: photos, line items, justifications. Every supplement is a half-day for a senior.
- **Estimates take days; prospects move on.** Inspection happens. Estimate sits in someone's queue. By Wednesday the homeowner has three other quotes.
- **Reviews never get asked for.** The job is done. The crew leaves. The Google review request never gets sent. Your review velocity is the difference between page one and page three.

##### What we build

- **Lead intake bot with instant SMS.** Web or call lead → SMS in under 60 seconds, qualifying questions, inspection booking. Storm-day first-response rate near 100%.
- **Aerial measurement → estimate generator.** EagleView or Roofr report → estimate with material costs, labor, waste factor, and your margin baked in. Estimate out same-day.
- **Insurance supplement automation.** Xactimate-aware. Photo + scope diff → drafted supplement with line items and justifications. Senior reviews; supplement turnaround drops by half.
- **Job scheduling and crew dispatch.** Crews routed by skill, location, and material readiness. Schedule changes auto-comm to homeowners.
- **Material order automation.** Approved estimate → supplier order with delivery scheduled to job start. Saturday surprises stop happening.
- **Post-job review request flows.** SMS + email review request after final walk-through, with branching for happy/unhappy. Review velocity goes up; service-recovery happens before the public review.
- **Door-knock follow-up sequences.** Same-street follow-ups after a sign goes up. Polite, on-cadence, branded. Same crew, more jobs per neighborhood.

##### Tools we plug into

AccuLynx, JobNimbus, Roofr, ServiceTitan, Xactimate, EagleView.

##### Outcomes / ROI

> First-response rate near 100%. Supplement turnaround drops by half. Same-street conversion in storm zones doubles.

Headline numbers:

- **~100%** — storm-lead first response
- **50%** — faster supplements
- **2×** — review velocity

##### Real engagement (anonymized)

A 40-employee roofer in a hail-prone region had a 22% sign rate on storm leads. We shipped the SMS bot and aerial-estimate generator in four weeks. The next storm produced 412 leads, sign rate climbed to 31%, and the supplement queue cleared in days instead of weeks.

##### Frequently asked questions

**Q: Does it integrate with AccuLynx or JobNimbus?**

A: Yes — both, plus Roofr and ServiceTitan. Leads, estimates, jobs, and supplements all write back to your CRM. We do not replace it.

**Q: Can it handle insurance vs retail jobs differently?**

A: Yes — different recipes. Insurance gets the supplement workflow, scope-diff agent, and carrier-comm templates. Retail gets faster estimates, financing prompts, and door-knock follow-up.

**Q: How does it work during storm surges?**

A: The intake bot scales horizontally — 10 leads or 1,000, response times stay under 60 seconds. Crews and estimate generation queue with priority by claim status and homeowner readiness.

**Q: Is the estimate AI accurate enough to send?**

A: It produces a first draft grounded in your pricing, your waste factor, and the aerial measurements. A senior reviews and sends. After 8–12 weeks of refinement most senior reviews take five minutes.

**Q: How long until live?**

A: Two-week diagnostic, 3–4 week build. SMS bot is week one of build. Aerial estimates and supplements follow in weeks two and three.

#### AI Automation for HVAC Contractors

URL: https://www.scooperai.com/ai-automation-for-hvac-contractors

Last updated: Apr 29, 2026

**Subhead:** Fill the schedule, retain customers, recover lost quotes.

**Description:** AI automation for HVAC — 24/7 booking, seasonal maintenance reminders, quote follow-up, review requests. Booked jobs up 20%, membership renewals up 15%.

**Keywords:** AI for HVAC companies, HVAC automation, AI for heating and cooling

##### Where the hours go

- **Maintenance plan reminders never get sent.** Spring tune-ups, fall heating checks. Members on the plan. Reminders that should have gone out in March go out in June, by which time the AC is broken and the relationship is bad.
- **Quote follow-up is forgotten.** Tech writes a quote on Monday. Tech is on a different job by Wednesday. The quote sits in the system. The customer signed with someone else.
- **Dispatch is reactive and inefficient.** Tech locations are guessed. Job assignments are based on whoever picked up the phone. Drive time eats the day.
- **Reviews are not requested consistently.** Some techs ask. Some forget. Review velocity is whatever the most enthusiastic tech does. Page-one ranking depends on him.

##### What we build

- **24/7 booking bot.** Inbound service calls captured outside business hours, qualified, and slotted into the next-day schedule. No more voicemail-to-competitor leakage.
- **Seasonal maintenance reminders.** Spring + fall outreach to plan members, with one-tap booking. Membership renewals climb because the value shows up.
- **Quote follow-up workflow.** Open quote → drafted SMS check-in at 24h, 72h, 7d. Quotes that would have died move to scheduled jobs.
- **Dispatch optimization.** Real-time tech location, skill, and parts-on-truck → smart job assignment. Drive time drops, jobs-per-tech goes up.
- **Parts ordering from work orders.** Diagnostic write-up → parts list → supplier order with truck-restock priority. The next visit goes right.
- **Customer review request.** After every closed job, branded SMS review ask with branching for happy/unhappy. Service-recovery before the public review.
- **Membership renewal automation.** 60-day pre-renewal outreach with usage summary, savings recap, and one-tap renewal. Renewal rate climbs.

##### Tools we plug into

ServiceTitan, Housecall Pro, Jobber, FieldEdge, Service Fusion.

##### Outcomes / ROI

> Booked jobs up 20%. Membership renewal up 15%. Drive time down because dispatch finally has a brain.

Headline numbers:

- **+20%** — booked jobs
- **+15%** — membership renewals
- **–18%** — avg drive time

##### Real engagement (anonymized)

A 32-truck HVAC company in the Southeast was leaving 60+ after-hours calls a week on voicemail. Diagnostic flagged the booking bot and seasonal renewals as the highest-ROI bets. Both shipped in five weeks. Same trucks, +21% jobs booked, and the next summer's peak weeks ran without the usual triage chaos.

##### Frequently asked questions

**Q: Does it work with ServiceTitan?**

A: Yes — and Housecall Pro, Jobber, FieldEdge, and Service Fusion. Bookings, work orders, dispatch, and customer comms all write back to your FSM tool.

**Q: Can it handle commercial and residential differently?**

A: Yes. Commercial gets PM-schedule outreach, RTU lifecycle tracking, and contract-renewal flows. Residential gets seasonal reminders, quick booking, and membership management.

**Q: How does dispatch optimization work?**

A: Live truck GPS + skills + parts inventory + job priority → recommended assignment. Dispatcher approves with one tap. Over 8 weeks the model learns your preferences and the drive-time savings compound.

**Q: What about multi-location franchises?**

A: Per-location partitions, brand-consistent comms, roll-up reporting at the franchise level. Local managers see local data; corporate sees the whole map.

**Q: How fast can we go live?**

A: Two-week diagnostic, 3–4 week build. Booking bot ships first, usually by week three. Seasonal flows and dispatch optimization follow.

#### AI Automation for Plumbing Companies

URL: https://www.scooperai.com/ai-automation-for-plumbers

Last updated: Apr 29, 2026

**Subhead:** Capture every after-hours call, fill the schedule, get paid faster.

**Description:** AI automation for plumbers — 24/7 receptionist with emergency triage, booking, quote follow-up, review requests. Zero missed after-hours calls.

**Keywords:** AI for plumbing businesses, plumber automation, plumbing AI tools

##### Where the hours go

- **After-hours calls go to voicemail.** A water heater dies at 7pm on a Friday. Your competitor's answering service picks up. You see the missed call on Monday.
- **Quote follow-ups slip during busy periods.** A tech writes a $4,800 estimate. Two weeks pass. The customer "is still thinking." Without a nudge, the quote is dead.
- **Recurring-service customers churn quietly.** Annual flush, drain tune-up, sump check. Plan members exist on paper. The reminder cadence is whoever remembers.
- **Online review volume lags.** Local search is review-count plus rating. You have the rating. You do not have the count. The competitor with 600 reviews wins the click.

##### What we build

- **24/7 AI receptionist with emergency triage.** Routes flooding, no-water, gas-smell calls to on-call humans within seconds. Routine work gets booked into the next-day schedule.
- **Booking bot with calendar sync.** Customers book, reschedule, and confirm via SMS or web. Calendar stays full without dispatcher tetris.
- **Quote follow-up sequences.** Open quote → SMS at 24h, 72h, 7d, 14d. Drafted in your tech's tone. Customer never gets the cold "are you ready" — they get a useful nudge.
- **Recurring service reminders.** Plan-member outreach for annual flushes, drain tune-ups, and inspection visits. One-tap booking. Membership stickiness goes up.
- **Review request automation.** Post-job branded review ask with happy/unhappy branching. Review count climbs; service-recovery happens before public reviews.
- **Tech dispatch and routing.** Live tech location + skill + parts → next-best assignment. Drive-time waste drops, jobs-per-tech goes up.
- **Invoice + payment chase.** Outstanding-invoice nudges with one-tap pay links. AR aging drops without phone calls.

##### Tools we plug into

ServiceTitan, Housecall Pro, Jobber, Workiz.

##### Outcomes / ROI

> Zero missed after-hours calls. Quote close rate up double digits. Review count climbs out of competitor territory inside one quarter.

Headline numbers:

- **0** — missed after-hours calls
- **+12 pts** — quote close rate
- **3×** — review velocity

##### Real engagement (anonymized)

A 14-truck plumbing company logged 73 after-hours voicemails in a typical month — most went to competitors by morning. We shipped the AI receptionist with emergency triage in four weeks. The next month: 91 after-hours captures, 38 same-week jobs booked, and a measurable lift in Google review velocity.

##### Frequently asked questions

**Q: How does the AI handle plumbing emergencies?**

A: Emergency keywords (flooding, gas, no-water, sewer back-up) and sentiment cues route to a 24/7 on-call human within seconds. The bot does not hold an emergency in its queue.

**Q: Will it actually book on my calendar?**

A: Yes — into ServiceTitan, Housecall Pro, Jobber, or Workiz. Slot logic respects your zones, tech skills, and existing buffers. Customers get a confirmation; dispatch gets one less call.

**Q: Can it transfer to a human when needed?**

A: Always. The bot escalates on emergency, ambiguity, or customer request — usually inside three minutes during business hours, faster on emergencies.

**Q: What is the setup cost?**

A: Two-week diagnostic at $9.5k, then a 3–4 week build from $14k depending on scope. Most plumbing builds land between $18k and $32k all-in. ROI in the first 90 days is the norm.

**Q: How long until it is live?**

A: Two weeks of diagnostic, 3–4 weeks of build. Receptionist usually ships in week one of build. Quote follow-up and review flows follow in weeks two and three.

#### AI Automation for Electrical Contractors

URL: https://www.scooperai.com/ai-automation-for-electricians

Last updated: Apr 29, 2026

**Subhead:** From estimate to permit to invoice, less paperwork.

**Description:** AI automation for electricians — same-day estimates, permit drafting, dispatch, customer follow-up. Estimates out same-day, permit prep cut by 70%.

**Keywords:** AI for electrical contractors, electrician automation

##### Where the hours go

- **Estimate turnaround time loses jobs.** Service or panel upgrade walkthrough on Monday. Estimate "by the end of the week." Customer signed Tuesday with someone faster.
- **Permit paperwork is a per-job tax.** Different city, different forms, different inspector. The senior electrician fills them out at 8pm because nobody else can keep the requirements straight.
- **Service vs project work needs different workflows.** Same office tries to dispatch troubleshooting calls and coordinate a 6-week commercial build at the same time. Both suffer.
- **Repeat customers are not contacted.** A panel installed three years ago is due for inspection. Surge protectors fail in five years. The customer remembers nobody if nobody reaches out.

##### What we build

- **Estimate generator from intake details.** Walkthrough notes + photos → drafted estimate with material, labor, and your margin. Senior reviews; estimate out same-day.
- **Permit application drafting.** Per-jurisdiction templates pre-filled from the job record. Inspector-name routing and submission tracking. Permit prep time cut by 70%.
- **Project vs service routing.** Inbound work classified at intake; project work routes to the PM, service work routes to dispatch. Two workflows, one inbox.
- **Crew scheduling and dispatch.** Live crew location + skill + tools → assignment recommendations. Dispatcher approves; crew gets the next-best job, not the next-loudest one.
- **Customer follow-up after install.** Post-install thank-you, warranty registration, review request. Same workflow every time.
- **Maintenance reminders.** Past-customer database mined for surge protector replacement, panel inspections, generator service. Drafted outreach + booking links.
- **Invoice + payment automation.** Closed job → invoice with payment link. Reminder sequence at 7d, 14d, 30d. AR aging drops without phone calls.

##### Tools we plug into

ServiceTitan, Housecall Pro, Jobber, ESC, FieldEdge.

##### Outcomes / ROI

> Estimates out same-day instead of 2–3 days. Permit prep time cut by 70%. Repeat customers stop being a function of memory.

Headline numbers:

- **same-day** — estimates out
- **–70%** — permit prep time
- **+18%** — repeat-customer revenue

##### Real engagement (anonymized)

A 22-electrician shop running both service and commercial new-construction had estimates piling up in the senior's inbox. Diagnostic showed 26 hours a week on permits and estimates by the senior alone. We shipped the estimate generator and permit drafting in five weeks. Same senior, +30% close rate on projects, and a calmer Friday afternoon.

##### Frequently asked questions

**Q: Does it work for both residential and commercial?**

A: Yes — different recipes. Residential gets service dispatch, fast estimates, and maintenance follow-ups. Commercial adds project workflows, RFI drafting, and submittal tracking.

**Q: Can it handle different state permit requirements?**

A: Yes. Per-jurisdiction templates with inspector routing. New jurisdictions take a week to onboard once we have the city's forms.

**Q: How does it integrate with our scheduling tool?**

A: ServiceTitan, Housecall Pro, Jobber, FieldEdge, ESC — all supported. Scheduling, dispatch, and customer comms write back to your FSM tool.

**Q: What is the implementation timeline?**

A: Two-week diagnostic, 3–5 week build. Estimate generator usually ships in week three; permit drafting in week four; dispatch and follow-up flows by week five.

**Q: Will my senior electrician trust the estimates?**

A: After two weeks of paired calibration, the typical senior approves 80%+ of drafted estimates with minor edits. The model is grounded in your historical pricing — it is not guessing.

#### AI Automation for Solar Installation Companies

URL: https://www.scooperai.com/ai-automation-for-solar-installers

Last updated: Apr 29, 2026

**Subhead:** Long sales cycles, complex paperwork. We automate both.

**Description:** AI automation for solar installers — fast proposals, utility paperwork, install scheduling, warranty registration. Proposal turnaround in 30 minutes.

**Keywords:** AI for solar companies, solar installer automation

##### Where the hours go

- **Sales cycles are long and prospects go cold.** A homeowner takes 60–90 days to decide. The sales rep is in front of new prospects, not nurturing the old ones. Half the pipeline freezes.
- **Utility paperwork is a maze.** Different utility, different interconnection forms, different timelines. A designer spends Friday on paperwork instead of design.
- **Design proposals take a designer half a day.** Aurora or OpenSolar design, system spec, financing options, savings projection. Same shape every time, never templated enough.
- **Install scheduling competes with weather, permits, inspections.** Three independent calendars rarely line up. Reschedules cascade. Crews wait. Customers ask why.

##### What we build

- **Long-cycle lead nurture.** Per-prospect cadence keyed to objections raised, financing chosen, and rate-environment changes. Pipeline stays warm without a rep babysitting it.
- **Proposal automation.** Utility bill upload + roof aerial → system spec, financing options, savings projection. Branded proposal out in 30 minutes, not half a day.
- **Utility interconnection paperwork.** Per-utility templates pre-filled from the job record. Submission tracking, status pings, and inspector routing. Interconnection cycle drops by weeks.
- **Permit submission workflow.** AHJ-aware permit drafting with attachment checklists and re-submission triggers when the city rejects.
- **Install scheduling agent.** Coordinates weather, permit status, inspector availability, and crew load. Reschedules cascade automatically; customers are notified before they call.
- **Post-install warranty registration.** Inverter, panel, monitoring — registered automatically with the manufacturer. Customer gets a one-page summary.
- **Referral request automation.** 90-day post-install referral ask with one-tap warm-intro link. Solar referrals close at 30%+; you should be asking.

##### Tools we plug into

Aurora, OpenSolar, Sungage, Enerflo, Sales Rabbit.

##### Outcomes / ROI

> Proposal turnaround in 30 minutes. Lead-to-close cycle shortened by 2–3 weeks. Designers stop being paperwork.

Headline numbers:

- **30 min** — proposal turnaround
- **–2 to 3 wk** — sales cycle
- **5×** — designer throughput

##### Real engagement (anonymized)

A regional solar installer doing 600 systems annually had a designer-bottlenecked pipeline and a 12-week average sales cycle. We shipped the proposal generator in week three and the interconnection drafting in week six. Designer output 4×, sales cycle dropped to 9 weeks, and the next quarter's install schedule was fully booked four weeks ahead.

##### Frequently asked questions

**Q: Can it handle utility-specific paperwork by region?**

A: Yes. Per-utility templates for interconnection, net-metering, and incentive applications. New utilities take a week to onboard once we have the forms and timelines.

**Q: Does it integrate with Aurora or OpenSolar?**

A: Yes — both. Design data, system specs, and proposals flow through. Aurora's API is more permissive; OpenSolar requires a slightly different export pattern but works cleanly.

**Q: Is the proposal accurate enough to send to homeowners?**

A: It produces a first draft grounded in your equipment catalog, your pricing, and the homeowner's utility bill. A designer signs off. After 4–6 weeks of calibration most designers approve in five minutes.

**Q: What about lead generation vs lead conversion?**

A: Our scope is conversion — the pipeline you already have, working harder. We do not run paid ads or SDR outreach for you, but we do measure lead-source ROI to inform what your marketing should do.

**Q: How fast does it go live?**

A: Two-week diagnostic, 4–6 week build. Proposal generator in week three; nurture in week four; interconnection paperwork in weeks five and six.

#### AI Automation for Cleaning Services

URL: https://www.scooperai.com/ai-automation-for-cleaning-services

Last updated: Apr 29, 2026

**Subhead:** Quote, schedule, and bill on autopilot.

**Description:** AI automation for cleaning companies — instant quotes, recurring scheduling, route optimization, review requests. Quote response in seconds, +25% rebook rate.

**Keywords:** AI for cleaning companies, cleaning service automation

##### Where the hours go

- **Quote requests pile up overnight.** Inbound from Yelp, Google, Facebook — six new quote requests by 8am. The owner answers them on lunch break. Three are gone by then.
- **Recurring schedules need constant adjustment.** A bi-weekly client moves to weekly. A monthly client cancels. The schedule is a living document; the cleaner finds out an hour before.
- **Cleaner dispatch and routing is manual.** Three crews, twelve jobs, four neighborhoods. Drive time eats 25% of the day because the route was built by hand.
- **Reviews from happy customers go uncollected.** Cleaning is one of the few trades where a happy customer will leave a 5-star review with one ask. The ask never happens.

##### What we build

- **Instant quote bot.** Square footage + cleaning type + frequency → instant quote. Web form or SMS. Customer books on the spot.
- **Schedule routing for crews.** Crews routed by location and skill. Drive time minimized. Schedule changes auto-comm to crews and customers.
- **Recurring service automation.** Bi-weekly, weekly, monthly — auto-scheduled with confirmation cycles. Cancellations handled gracefully; rebook prompts sent.
- **Customer reschedule workflow.** Customer-initiated reschedules with one-tap slot picking. Crew load rebalanced automatically.
- **Review request post-clean.** Branded review ask after each visit, with happy/unhappy branching. Review count climbs; complaints get caught privately.
- **New customer welcome flow.** First-clean prep checklist, access instructions, day-of confirmation. Reduces no-shows and bad first impressions.
- **Recurring billing chase.** Failed-card recovery, balance reminders, one-tap pay links. AR cleanups stop being a Saturday job.

##### Tools we plug into

Jobber, Housecall Pro, ZenMaid, Launch27, Workiz.

##### Outcomes / ROI

> Quote response in seconds. Recurring rebook rate up 25%. Drive time drops because routing finally has a brain.

Headline numbers:

- **<60s** — quote response
- **+25%** — recurring rebook
- **–18%** — drive time

##### Real engagement (anonymized)

A residential cleaning company with 6 crews and 240 active clients was losing 40% of inbound quote requests to slow response. We shipped the instant-quote bot in three weeks and routing in five. Quote-to-book conversion went from 22% to 38%, and the next hire decision moved from "this month" to "next quarter."

##### Frequently asked questions

**Q: Will it handle commercial cleaning differently from residential?**

A: Yes. Commercial gets contract management, multi-site routing, and night-shift dispatch. Residential gets fast quotes, recurring scheduling, and customer-friendly comms.

**Q: Can it sync with our existing scheduling tool?**

A: Jobber, Housecall Pro, ZenMaid, Launch27, Workiz — all supported. Bookings, reschedules, and dispatch write back to your scheduling system.

**Q: How does it handle cancellations?**

A: Customer cancellation triggers a polite save flow with reschedule offers. If the customer still cancels, the crew is auto-rebalanced and a rebook prompt is queued for 30 days out.

**Q: What is the cost vs hiring an admin?**

A: Most cleaning builds run $14k–$24k all-in, plus a small monthly platform cost. A part-time admin is $2k–$3k a month indefinitely. The build pays for itself inside 9–12 months and keeps compounding.

**Q: How fast can we go live?**

A: Two-week diagnostic, 3–4 week build. Quote bot ships first, usually by week three. Routing and recurring billing follow in weeks four and five.

#### AI Automation for Construction and General Contractors

URL: https://www.scooperai.com/ai-automation-for-construction-companies

Last updated: Apr 29, 2026

**Subhead:** Bid faster, coordinate cleaner, document everything.

**Description:** AI automation for general contractors — bid takeoff, RFI/submittal workflows, sub coordination, project status. Bid prep cut 40%, RFI cycles in days.

**Keywords:** AI for general contractors, construction automation, AI for builders

##### Where the hours go

- **Bid prep is manual takeoff and calculation.** Plans land. An estimator takes off quantities by hand. Materials priced from yesterday's spreadsheet. Two weeks of work for a 50% chance of winning the bid.
- **RFIs and submittals create document chaos.** Three RFIs a day across four projects. Architect responds in 5–10 days. Each round adds a week to the schedule. Document version control is whoever sent the latest email.
- **Subcontractor coordination is phone tag.** Concrete needs to be done before electrical can rough-in. Both subs schedule independently. The PM is the coordination layer. The PM is also doing six other things.
- **Project status reporting takes hours.** Every Friday: schedule, RFIs, submittals, change orders, projected vs actual. The PM assembles by hand. The owner gets a deck on Monday.

##### What we build

- **Bid takeoff assistant.** PDF plans → drafted quantity takeoff with line-item pricing from your historical bids. Estimator reviews, adjusts, submits. Bid prep cut by 40%.
- **RFI intake and routing workflow.** RFI submitted → routed to architect with auto-categorization → response logged → distribution to affected subs. Cycle drops from weeks to days.
- **Submittal log automation.** Auto-generated submittal log from spec sections. Tracks status, deadlines, and approvals. The architect stops being the bottleneck.
- **Subcontractor coordination flows.** Schedule dependencies tracked across subs. Auto-comm to affected parties when upstream tasks slip. PM stops being the phone tree.
- **Project status report generator.** Schedule + RFIs + submittals + change orders + budget → branded weekly status report. PM reviews and sends.
- **Change order documentation.** Field condition → drafted CO with photos, scope, and pricing. Owner approves digitally. Change orders stop being a Friday-afternoon job.
- **Punch list tracking.** Per-trade punch lists with photo capture, sign-off, and warranty handoff. Substantial completion accelerates.

##### Tools we plug into

Procore, Buildertrend, CoConstruct, PlanGrid, Autodesk Build.

##### Outcomes / ROI

> Bid prep time cut by 40%. RFI cycle time down to days from weeks. Project status reporting becomes automatic, not Friday-afternoon work.

Headline numbers:

- **–40%** — bid prep time
- **days vs weeks** — RFI cycle
- **auto** — weekly status reports

##### Real engagement (anonymized)

A 90-person commercial GC bidding $60M annually had a two-estimator bottleneck and was losing bids on speed. We shipped the takeoff assistant in five weeks. Bid prep dropped from 14 days to 8 days, win rate climbed three points on the next 22 bids, and the firm chased two large pursuits the previous bid pipeline had no room for.

##### Frequently asked questions

**Q: Does it integrate with Procore or Buildertrend?**

A: Yes — both, plus CoConstruct, PlanGrid, and Autodesk Build. RFIs, submittals, schedule, and documents write back to your construction-management platform.

**Q: Can it handle commercial vs residential differently?**

A: Yes. Commercial gets full submittal/RFI workflows, AIA payment apps, and CO management. Residential gets faster bidding, client comms, and warranty tracking.

**Q: How does it manage document version control?**

A: Documents live in your construction-management platform. We do not duplicate the source of truth — we orchestrate around it. Version updates trigger downstream notifications automatically.

**Q: What about subcontractor adoption?**

A: Subs interact via SMS and email; they do not need to learn new software. PM gets the coordination view; subs get clear, polite, on-time communication.

**Q: How fast does it go live?**

A: Two-week diagnostic, 5–7 week build. Takeoff assistant typically ships in week four; RFI/submittal workflows by week six; status reporting by week seven.

#### AI Automation for Medical Practices and Clinics

URL: https://www.scooperai.com/ai-automation-for-medical-practices

Last updated: Apr 29, 2026

**Subhead:** Front desk, intake, and follow-up — automated and HIPAA-aware.

**Description:** AI automation for clinics — receptionist, no-show recovery, digital intake with EHR sync, refill triage. Front-desk calls down 40%, no-shows cut in half.

**Keywords:** AI for clinics, medical office automation, AI for doctors

##### Where the hours go

- **Front desk phones never stop ringing.** Booking, rescheduling, refill questions, insurance questions. The front desk is two people doing six people's jobs.
- **No-show rate hurts revenue.** A no-show is an empty chair the practice already paid for. 12% no-show across a busy clinic is real money walking out.
- **Intake forms are still on paper.** Patient fills it out in the waiting room. MA re-keys into the EHR. The form sits in a drawer. Repeat 60 times a day.
- **Refill requests and authorizations drown staff.** Pharmacy faxes a refill request. Voicemail asks for a refill. Portal pings for a refill. Same patient, three channels, one MA.

##### What we build

- **AI receptionist for appointment booking.** Inbound calls captured 24/7 with intent classification. Routine bookings handled in under 90 seconds. Clinical questions routed to a nurse.
- **No-show recovery + reminders.** Multi-channel reminders at 7d, 24h, 2h. Auto-reschedule offers for no-shows. Show rate climbs because the workflow runs every time.
- **Digital intake with EHR sync.** Pre-visit intake on the patient's phone. Writes structured fields into Athena, Epic, or eClinicalWorks. MAs stop re-keying.
- **Refill request triage.** Inbound refill requests across fax, phone, and portal → unified queue → controlled-substance flags + previous-script lookup. Prescriber approves in one click.
- **Pre-visit chart prep.** Recent labs, prior visit summaries, open orders → one-paragraph chart prep in the provider's inbox the morning of. Visits start informed.
- **Insurance eligibility verification.** Eligibility checks 48 hours pre-visit. Out-of-network or expired coverage caught before the patient arrives.
- **Patient post-visit follow-up.** After-visit summaries, medication-adherence check-ins, satisfaction survey. Care continuity that used to depend on a postcard.

##### Tools we plug into

Athenahealth, Epic, eClinicalWorks, DrChrono, Practice Fusion, Kareo.

##### Outcomes / ROI

> Front-desk call volume down 40%. No-show rate cut in half. Providers see chart-prepped patients instead of cold charts.

Headline numbers:

- **–40%** — front-desk call volume
- **50%** — fewer no-shows
- **24/7** — patient access

##### Real engagement (anonymized)

A 6-provider primary-care practice was losing $18k a month to no-shows and had a four-week wait list. We shipped the AI receptionist and digital intake in five weeks. No-shows dropped from 13% to 6%, the front-desk team hired for replacement instead of growth, and the wait list shortened by 11 days.

##### Frequently asked questions

**Q: Is this HIPAA compliant?**

A: Yes. We deploy in HIPAA-eligible environments with BAAs in place, no cross-tenant training, and full audit logs of every PHI access. Your covered-entity obligations flow through cleanly.

**Q: Will it integrate with our EHR?**

A: Athena, Epic, eClinicalWorks, DrChrono, Practice Fusion, Kareo — yes. Bookings, intake data, refill triage, and chart-prep notes write back via standard FHIR or vendor APIs.

**Q: How is patient data secured?**

A: Encryption in transit and at rest, role-based access, per-clinic data partitions, regular SOC 2 Type II audits. Sensitive categories (mental-health notes, HIV, substance use) get extra scoping.

**Q: Can patients still reach a human?**

A: Always. The bot escalates on clinical questions, ambiguity, or patient request. Most practices set the escalation threshold low for the first 30 days, then tune as confidence builds.

**Q: How long until live?**

A: Two-week diagnostic, 4–6 week build. Receptionist usually ships in week three; digital intake by week four; refill triage and chart prep by week six.

#### AI Automation for Dental Practices

URL: https://www.scooperai.com/ai-automation-for-dental-practices

Last updated: Apr 29, 2026

**Subhead:** Recall, treatment plans, insurance — fewer phones, more chairs filled.

**Description:** AI automation for dental practices — recall outreach, treatment-plan follow-up, insurance verification, reviews. Recall completion up 35%.

**Keywords:** AI for dentists, dental office automation, AI for dental practices

##### Where the hours go

- **Recall lists never get worked through.** Hundreds of patients overdue for a hygiene visit. Front desk works through them when there is time. There is never time.
- **Treatment plan follow-up is patchy.** Patient leaves with a $4,800 plan. Six weeks later nobody has called. Plan acceptance has nothing to do with diagnosis.
- **Insurance verification eats front-office hours.** Each new appointment needs eligibility, benefits, and history. The front desk does it on the phone with the carrier. Twenty minutes a patient.
- **Reviews are inconsistent.** Some patients get the review ask. Some do not. The inconsistency shows up in your Google rank.

##### What we build

- **Recall automation.** Multi-channel outreach (SMS, email, voice) to overdue patients with one-tap booking. Recall completion climbs immediately.
- **Treatment plan follow-up.** Open plan → drafted patient outreach at 2w, 6w, 12w with financing options and procedure-specific FAQs.
- **Insurance eligibility verification.** 48-hour pre-visit eligibility checks across major carriers. Out-of-network surprises caught before the patient arrives.
- **Appointment reminders + confirmations.** Reminder cadence at 7d, 24h, 2h with one-tap confirm or reschedule. No-shows drop without front-desk effort.
- **Review request automation.** Branded review ask after every visit. Happy/unhappy branching. Review velocity goes up; service-recovery happens privately.
- **New patient welcome flow.** Pre-visit forms, insurance capture, office orientation. New patient day-of arrives prepped, not confused.
- **Hygiene appointment rebooking.** Failed rebook captured before the patient leaves the chair. Rebook prompts sent at 5 months, 5.5 months, 6 months.

##### Tools we plug into

Dentrix, Open Dental, Eaglesoft, Curve Dental, Denticon.

##### Outcomes / ROI

> Recall completion up 35%. Treatment-plan acceptance follow-through up 20%. Front-desk hours that used to live on the phone go to chair-fill instead.

Headline numbers:

- **+35%** — recall completion
- **+20%** — plan acceptance
- **24/7** — patient self-serve

##### Real engagement (anonymized)

A 3-doctor dental practice had 1,400 overdue recall patients and a $90k unworked treatment-plan backlog. We shipped recall automation in week three and treatment-plan follow-up in week five. Inside one quarter: 480 recall visits booked, $38k of stalled treatment activated, and the same front-desk team running it without overtime.

##### Frequently asked questions

**Q: Does it work with Dentrix and Open Dental?**

A: Yes — and Eaglesoft, Curve Dental, and Denticon. Recall, treatment-plan, and appointment data write back to your PMS.

**Q: Is it HIPAA compliant?**

A: Yes. HIPAA-eligible deployment, BAAs in place, encryption in transit and at rest, no cross-tenant training, audit logs.

**Q: Can it text and email patients?**

A: Yes — both, plus voice for older patients. Channel preference is captured per patient and respected automatically.

**Q: How does it handle multi-doctor practices?**

A: Per-doctor partitions for plan tracking and recall preferences. Roll-up reporting at the practice level. Multi-location support is the same model.

**Q: What is the implementation timeline?**

A: Two-week diagnostic, 3–5 week build. Recall and reminders ship in week three; treatment-plan follow-up by week four; insurance verification by week five.

#### AI Automation for Med Spas and Aesthetic Clinics

URL: https://www.scooperai.com/ai-automation-for-med-spas

Last updated: Apr 29, 2026

**Subhead:** Higher consult conversion, better retention, less front-desk chaos.

**Description:** AI automation for med spas — fast lead intake, pre-consult forms, post-treatment follow-up, membership retention. Consult bookings up 30%.

**Keywords:** AI for med spas, aesthetic clinic automation, med spa AI tools

##### Where the hours go

- **Lead response speed determines consult booking.** Aesthetic leads shop fast. A 30-minute response window is the entire game. Most spas miss it on weekends.
- **Post-treatment follow-up is rarely consistent.** Botox, filler, laser — different aftercare windows, different rebook windows. Nobody runs the cadence the same way twice.
- **Membership and package upsell happens by chance.** A patient comes in for one tox visit and leaves. The membership conversation never happens. Lifetime value flatlines.
- **Review velocity lags Google's competitive bar.** Aesthetic is one of the most competitive local-search categories. Review count is the rank. The ask happens or it does not.

##### What we build

- **Lead intake bot with consult booking.** Inbound web or DM → SMS in under 60 seconds, qualifying questions, consult booking. No-show prevention built in.
- **Pre-consult intake forms.** Medical history, contraindications, treatment goals. Provider walks into the room ready to consult, not interview.
- **Post-treatment follow-up.** Per-treatment aftercare cadence. Filler, tox, laser, peel — each gets the right check-in at the right interval.
- **Membership and retention nurture.** Drafted membership pitch at the right moment in a patient's history. Treatment-spend triggers, not generic blasts.
- **Review request automation.** Post-visit review ask with happy/unhappy branching. Review count climbs; service-recovery happens before public reviews.
- **Loyalty program triggers.** Visit milestones, referral milestones, and birthday touch-points. The program runs without front-desk attention.
- **Cross-sell flows by treatment type.** Filler patient → laser invitation. Peel patient → IV therapy invitation. Treatment-history-aware, on-tone, never spammy.

##### Tools we plug into

Boulevard, Mindbody, Vagaro, AestheticRecord, PatientNow.

##### Outcomes / ROI

> Consult bookings up 30%. Membership retention up double digits. Review velocity climbs out of the competitive noise.

Headline numbers:

- **+30%** — consult bookings
- **+15 pts** — membership retention
- **3×** — review velocity

##### Real engagement (anonymized)

A two-location med spa with $2.6M annual revenue had a 19% consult-to-treat conversion. We shipped the lead intake bot, pre-consult forms, and membership nurture in five weeks. Conversion climbed to 27%, membership rolls grew 22%, and the second location's ramp accelerated.

##### Frequently asked questions

**Q: Will it work with Boulevard?**

A: Yes — and Mindbody, Vagaro, AestheticRecord, and PatientNow. Bookings, treatment history, and membership data write back to your PMS.

**Q: Can it handle injectables vs lasers vs facials differently?**

A: Yes. Per-treatment intake forms, per-treatment aftercare cadences, per-treatment cross-sell flows. Same platform, treatment-aware recipes.

**Q: Is patient data secure?**

A: Yes — HIPAA-eligible deployment, BAAs, no cross-tenant training, encryption in transit and at rest, full audit logs.

**Q: Can we customize the brand voice?**

A: Yes. We train on your existing patient comms, social copy, and consult scripts. The bot sounds like your senior aesthetician, not a chatbot.

**Q: How fast can we go live?**

A: Two-week diagnostic, 3–4 week build. Lead intake ships first, usually by week three. Post-treatment follow-up and membership nurture follow.

#### AI Automation for Therapy and Mental Health Practices

URL: https://www.scooperai.com/ai-automation-for-therapists

Last updated: Apr 29, 2026

**Subhead:** Less paperwork between sessions. More clinical focus.

**Description:** AI automation for therapy practices — digital intake, insurance verification, scheduling, no-show recovery, outcome measures. Intake-to-first-session cut in half.

**Keywords:** AI for therapists, mental health practice automation

##### Where the hours go

- **Intake takes weeks; clients churn before session 1.** A client reaches out in crisis. The intake form, insurance check, and scheduling take three weeks. By session 1 the client has either improved or given up.
- **Insurance verification is a per-client chore.** Mental-health benefits are uniquely confusing. Each new client requires a phone call to the carrier. The clinician's admin time grows with the practice.
- **Scheduling and rescheduling drains admin time.** Clients reschedule constantly. The bookkeeper handles it. The bookkeeper also handles billing. Both suffer.
- **Session note prep eats clinical hours.** Reviewing last session's notes before the current one. Pulling outcome measures. Writing the after-session note. A 50-minute session is a 70-minute job.

##### What we build

- **Digital intake with screener integration.** PHQ-9, GAD-7, PCL-5, custom screeners → structured intake into the practice EHR. Clinician walks into a session prepared.
- **Insurance eligibility verification.** 48-hour pre-session checks for mental-health benefits, copay, and visit limits. Surprises caught before the client arrives.
- **Scheduling agent with self-serve reschedule.** Clients reschedule themselves within practice rules. No-show recovery flows when a session is missed.
- **Reminder + no-show recovery.** Multi-channel reminders. When a session is missed, a same-day rebook prompt with the next-available slot.
- **Outcome measure collection.** Pre-session PHQ-9 and GAD-7 capture, plotted against treatment progress for the clinician's notes.
- **Superbill generation.** Per-session superbills for self-pay clients, formatted for carrier reimbursement. Clients stop emailing for them.
- **Waitlist nurture.** Clients on the waitlist get cadence-based check-ins, alternate provider suggestions, and crisis-resource reminders.

##### Tools we plug into

SimplePractice, TherapyNotes, TheraNest, Headway, Alma.

##### Outcomes / ROI

> Intake-to-first-session time drops by half. Admin hours per clinician down 5+ a week. Clinicians stop being administrators.

Headline numbers:

- **50%** — faster to first session
- **5+ hrs** — reclaimed per clinician / wk
- **24/7** — client self-serve

##### Real engagement (anonymized)

A 9-clinician group practice had a 22-day intake-to-first-session time and a 31% intake drop-off. We shipped digital intake with insurance verification in four weeks and self-serve scheduling in five. Intake time dropped to 9 days, drop-off to 12%, and clinicians reclaimed an average of 6 hours a week.

##### Frequently asked questions

**Q: Is this HIPAA compliant?**

A: Yes. HIPAA-eligible deployment, BAAs in place, encryption in transit and at rest, no cross-tenant training. Mental-health data gets extra access scoping.

**Q: Can it handle group practices?**

A: Yes. Per-clinician partitions, per-specialty intake routing, group-level reporting. Multi-location practices use the same pattern.

**Q: How are session notes treated?**

A: Session notes stay with the clinician. The agent does not read or summarize psychotherapy notes. Outcome measures and structured intake fields are the only data the agent touches.

**Q: Will clients feel less personal contact?**

A: No. The agent only handles the parts of the relationship that already are not personal — intake forms, insurance, scheduling. The clinician's time gets back to the therapeutic relationship.

**Q: Will it integrate with SimplePractice or TherapyNotes?**

A: Yes — both, plus TheraNest, Headway, and Alma. Intake data, schedule, and billing write back into your EHR.

#### AI Automation for Veterinary Clinics

URL: https://www.scooperai.com/ai-automation-for-veterinarians

Last updated: Apr 29, 2026

**Subhead:** Phones quieter, schedule fuller, follow-up consistent.

**Description:** AI automation for vet clinics — receptionist, vaccination reminders, post-visit follow-up, refill triage. Phone volume down 30%, +25% reminder appointments.

**Keywords:** AI for vet clinics, veterinary practice automation

##### Where the hours go

- **Front desk is overwhelmed with appointment calls.** Wellness, sick visits, boarding, grooming. Five reasons to call, two people to answer. Hold times grow. Clients leave.
- **Reminders for vaccinations and check-ups go unsent.** Annual rabies, distemper, dental clean. Reminders that should run on schedule run when someone has time.
- **Post-visit follow-up rarely happens.** Surgery recovery, new prescription, dental cleaning. A check-in call is best practice. Best practice does not survive Tuesday.
- **Refill requests and questions clog the line.** Same handful of questions, every day. The MA recites the same answer six times before lunch.

##### What we build

- **AI receptionist for appointment booking.** Inbound calls captured 24/7 with intent classification. Wellness, sick, boarding, grooming routed appropriately. Emergencies escalated immediately.
- **Vaccination + wellness reminders.** Per-pet schedules with one-tap booking. SMS, email, voice channels. Compliance climbs without front-desk effort.
- **Post-visit follow-up flows.** Surgery, dental, new-medication check-ins on the right cadence. Any clinical concern routes to the technician immediately.
- **Prescription refill triage.** Refill requests across phone, fax, portal → unified queue with controlled-substance flags. Doctor approves with one click.
- **Boarding and grooming booking.** Self-serve booking with capacity awareness. Confirms intake forms and required vaccinations before the visit.
- **Review request post-visit.** Branded review ask with happy/unhappy branching. Reviews go up; service-recovery happens privately.
- **New pet welcome series.** Vaccination schedule, training resources, microchip reminders, spay/neuter timing. New clients see organized care from day one.

##### Tools we plug into

ezyVet, Vetspire, AVImark, Cornerstone, Provet Cloud.

##### Outcomes / ROI

> Phone volume down 30%. Reminder-driven appointments up 25%. Front desk gets back to triage and client care.

Headline numbers:

- **–30%** — phone volume
- **+25%** — reminder appointments
- **24/7** — self-serve booking

##### Real engagement (anonymized)

A 4-vet clinic with 6,200 active patients had a 31% no-show rate on wellness reminders. We shipped the receptionist and reminder flows in four weeks. No-shows dropped to 14%, reminder-driven visits climbed 28%, and the clinic deferred a planned front-desk hire.

##### Frequently asked questions

**Q: Will it integrate with ezyVet or Cornerstone?**

A: Yes — both, plus Vetspire, AVImark, and Provet Cloud. Bookings, reminders, and refill triage write back to your PIMS.

**Q: Can it handle emergency vs routine differently?**

A: Yes. Emergency keywords and sentiment cues route to a human within seconds. Routine bookings get scheduled by the bot. Boarding and grooming follow their own logic.

**Q: Is animal medical data secure?**

A: Yes — encrypted in transit and at rest, no cross-tenant training, full audit logs. Per-clinic data partitions.

**Q: Does it support multi-doctor schedules?**

A: Yes. Per-doctor calendars with skill, species, and shift awareness. Clients booking online see slots that respect each doctor's preferences.

**Q: How long until live?**

A: Two-week diagnostic, 3–4 week build. Receptionist usually ships in week three. Reminders and follow-up flows by week four.

#### AI Automation for Chiropractic Clinics

URL: https://www.scooperai.com/ai-automation-for-chiropractors

Last updated: Apr 29, 2026

**Subhead:** Higher retention, smoother intake, more reviews.

**Description:** AI automation for chiropractic clinics — intake digitization, plan-of-care follow-up, reactivation, insurance verification. Patient retention up 20%.

**Keywords:** AI for chiropractic clinics, chiropractic practice automation

##### Where the hours go

- **Patients drop off after a few visits.** Plan of care says 18 visits. Patient comes for 8. The lapse is a function of nobody calling. Lifetime value walks out at visit 9.
- **Intake forms are re-keyed manually.** Patient writes pain score on paper. CA types it into the EHR. Information loss is built into the workflow.
- **Insurance verification is a manual loop.** Each new patient needs benefits checked. The CA does it on the phone with the carrier. Twenty minutes per patient that should be automatic.
- **Plan-of-care follow-up is inconsistent.** The plan is presented at visit 1. Follow-through depends on the front desk's memory. Some plans complete; most do not.

##### What we build

- **Intake digitization with EHR sync.** Pain scales, history, consent forms → structured fields into ChiroTouch or Genesis. Doctor walks into the room ready to adjust.
- **Plan-of-care follow-up workflow.** Per-plan cadence with visit-count check-ins, drafted re-engagement at visit 4 and visit 8, automated rebook prompts.
- **Reactivation outreach.** Lapsed-patient list mined for re-engagement opportunities. Drafted, on-tone outreach with one-tap booking.
- **Insurance verification automation.** 48-hour pre-visit eligibility checks for chiro benefits, visit limits, and copays. No-surprises billing.
- **Wellness program nurture.** Maintenance-care patients get cadence-based check-ins, content, and rebook prompts. Stickier than postcards.
- **Review collection.** Branded post-visit review asks with happy/unhappy branching. Review velocity climbs.
- **Referral request flows.** Post-treatment referral asks with one-tap warm-intro link. Patient referrals are the highest-converting channel; you should be asking.

##### Tools we plug into

ChiroTouch, ChiroFusion, Genesis, Platinum System, ChiroSpring.

##### Outcomes / ROI

> Patient retention up 20%. Reactivation campaigns recover 5–10% of lapsed patients per quarter. Front desk stops being the plan-of-care babysitter.

Headline numbers:

- **+20%** — patient retention
- **5–10%** — lapsed patient recovery
- **24/7** — self-serve booking

##### Real engagement (anonymized)

A solo-doctor chiropractic clinic with 800 active patients was completing 41% of plans of care. We shipped intake digitization, plan-of-care follow-up, and reactivation in four weeks. Plan completion climbed to 58%, reactivation pulled 47 lapsed patients back inside the first quarter, and the doctor saw three more new patients a week without working longer.

##### Frequently asked questions

**Q: Does it work with ChiroTouch?**

A: Yes — and ChiroFusion, Genesis, Platinum, and ChiroSpring. Intake, scheduling, and plan tracking write back to your EHR.

**Q: Is patient data HIPAA-secure?**

A: Yes. HIPAA-eligible deployment, BAAs, no cross-tenant training, full audit logs, encrypted at rest and in transit.

**Q: Can it handle plan-of-care timelines?**

A: Yes. The plan length, visit cadence, and check-in moments are configured to match how your practice presents care plans. The agent runs the cadence; the doctor owns the clinical judgment.

**Q: What is the ROI timeline?**

A: Most clinics see retention lift inside 60 days, reactivation revenue inside 90 days, and full ROI on the build inside the first quarter.

**Q: How fast does it go live?**

A: Two-week diagnostic, 3–4 week build. Intake and reminders ship in week three; plan-of-care follow-up by week four; reactivation in week five.

#### AI Automation for E-commerce Brands

URL: https://www.scooperai.com/ai-automation-for-ecommerce-brands

Last updated: Apr 29, 2026

**Subhead:** From CX to ops to attribution — automate the boring, scale the rest.

**Description:** AI automation for DTC brands — Gorgias-aware support agents, returns automation, daily ad reports, inventory alerts. CX team handles 3× the volume.

**Keywords:** AI for Shopify stores, DTC brand automation, e-commerce AI tools

##### Where the hours go

- **Customer support volume scales with revenue.** $5M to $20M does not change the question mix. Tracking, returns, sizing, "where is my order." The CX team grows linearly with revenue.
- **Returns and refunds drain margin and time.** Each return is a policy decision, a refund action, and a follow-up note. Multiply by every return. The margin you fought for in CAC is lost in CX.
- **Reporting is a manual mess.** Shopify, Klaviyo, Meta, Triple Whale, the bookkeeper's spreadsheet. The Monday report takes someone half a Sunday.
- **Inventory and supplier coordination is reactive.** Bestsellers stock out. Suppliers miss ETAs. The first time the team finds out is the day before the box was supposed to arrive.

##### What we build

- **Support agent (Gorgias / Zendesk-aware).** Handles 60–80% of tickets autonomously — tracking, sizing, returns, exchanges — with policy awareness baked in. Edge cases route to a human with full context.
- **Returns automation.** Policy-aware refund or store-credit decisions. Eligible items refunded automatically; ineligible items routed with a drafted explanation.
- **Daily ad performance + finance report.** Triple Whale + Shopify + Meta + Google → branded daily report by 6am. The team stops assembling; the team starts deciding.
- **Inventory anomaly detection.** Sell-through rate vs runway. Slack alerts when a SKU will stock out before the next supplier delivery. POs drafted on detection.
- **Supplier order tracking + ETA workflows.** PO sent → tracking pulled → ETA updates pushed to the buying team. Late shipments surface days earlier.
- **Review request flows by product type.** Sized items get review asks at 14 days. Consumables at the half-empty point. Cadence aware of what the customer actually bought.
- **Subscription churn save flows.** Pause, swap, skip — offered before cancel. Churn drops; voluntary cancels become save opportunities.

##### Tools we plug into

Shopify, Gorgias, Zendesk, Klaviyo, Triple Whale, Lifetimely, Postscript, Recharge.

##### Outcomes / ROI

> Support response time under 1 minute. CX team handles 3× volume. Inventory misses get caught the same day they happen, not the day before stock-out.

Headline numbers:

- **<1 min** — avg support response
- **3×** — CX volume per agent
- **+8 pts** — subscription retention

##### Real engagement (anonymized)

A $14M DTC consumables brand had a 6-person CX team and a returns problem that ate 40% of margin. We shipped the support agent in four weeks and returns automation in six. Auto-resolved tickets went from 0 to 71%, return processing time dropped 90%, and the next $4M in revenue came without a CX hire.

##### Frequently asked questions

**Q: Will it work with our Shopify store?**

A: Yes. Shopify is the most-tested integration in the practice. Plus, Recharge, Klaviyo, Postscript, Gorgias, Zendesk all integrate cleanly.

**Q: How does the support agent learn our policies?**

A: Two weeks of paired calibration on your existing ticket history. The agent learns the policies you actually apply, not the policies on the help-center page. Edge cases stay with humans.

**Q: Can it handle returns differently by SKU?**

A: Yes. SKU-level rules — final-sale, exchange-only, store-credit-only, full-refund — all configurable. The bot enforces; the team focuses on judgment cases.

**Q: What is the integration with Klaviyo and Gorgias?**

A: Native. Klaviyo for outbound flows, Gorgias for inbound CX. Triggers, tags, and customer attributes sync both ways.

**Q: How fast can we go live?**

A: Two-week diagnostic, 4–6 week build. Support agent usually ships in week three; returns automation in week five; daily reports in week six.

#### AI Automation for SaaS Companies

URL: https://www.scooperai.com/ai-automation-for-saas-companies

Last updated: Apr 29, 2026

**Subhead:** Onboarding, support, churn — automated and instrumented.

**Description:** AI automation for SaaS — onboarding flows, deflection-grade support, churn alerts, lead enrichment. Time-to-first-value cut in half, 50%+ ticket deflection.

**Keywords:** AI for SaaS, SaaS ops automation, AI for SaaS companies

##### Where the hours go

- **Customer onboarding is manual and inconsistent.** CSM does kickoff. Email follow-up two days later. Some customers get a clean ramp; some never get past account creation. Time-to-first-value depends on which CSM picked up.
- **Support volume blocks engineering and CS.** Tier-1 questions land in the engineering Slack because tier-1 escalates fast. Engineers context-switch. Velocity drops. Tickets pile up.
- **Churn signals appear too late to act.** Usage drops, logins disappear, the QBR gets cancelled twice. By the time the CSM notices, the churn is decided.
- **Sales ops is duct-taped across tools.** Lead in HubSpot. Enrichment in Clearbit. Notes in Gong. Forecast in Salesforce. The rep spends Tuesday updating tools instead of selling.

##### What we build

- **Onboarding automation.** Milestone-tracked onboarding with proactive nudges, drafted CSM emails, and product-touch reminders. Time-to-first-value cut in half.
- **Support deflection agent.** Trained on your docs, runbooks, and ticket history. Handles 50%+ of tier-1. Escalates with full context. Engineers stop being the support team.
- **Churn signal detection.** Usage + sentiment + product-touch signals → CSM alerts with a drafted intervention. Save attempts happen 30+ days earlier than they used to.
- **Lead enrichment + scoring pipeline.** Inbound and outbound leads enriched, scored, and routed. Reps see the right leads first. Marketing sees what is converting.
- **Demo scheduling automation.** Self-serve demo booking with prep questions. Reps walk into demos already informed.
- **CS health score dashboard.** Per-account health composite with drill-downs. The CSM's Monday view is the right view.
- **Renewal pre-flight workflow.** 60/30 days out — renewal packet drafted, risk flags surfaced, expansion opportunities identified. Renewals stop being a fire drill.

##### Tools we plug into

HubSpot, Salesforce, Intercom, Zendesk, Stripe, Gainsight, Mixpanel, Amplitude.

##### Outcomes / ROI

> Time-to-first-value cut in half. Support deflection rate 50%+. Churn signals surface in days, not in renewal calls.

Headline numbers:

- **50%+** — support deflection
- **2× faster** — time-to-value
- **30 days** — earlier churn signal

##### Real engagement (anonymized)

A 60-employee Series B SaaS at $14M ARR was paying engineers to answer support tickets. We shipped the deflection agent in week three and the CS health dashboard in week six. Tier-1 deflection landed at 58%, engineering reclaimed 11 hours per engineer per week, and the next ARR push happened with the same headcount.

##### Frequently asked questions

**Q: Will it integrate with our existing CRM?**

A: HubSpot, Salesforce, Intercom, Zendesk — yes. We have shipped against all of them. Customer records, tickets, and pipeline updates flow both ways.

**Q: How does the support agent stay accurate?**

A: It is grounded in your docs, runbooks, and historical ticket resolutions. Confidence scoring routes uncertain answers to a human. Daily eval runs catch drift before customers do.

**Q: Can it work for B2B and B2C SaaS?**

A: Yes — different recipes. B2B leans on account-level health, expansion identification, and CSM workflows. B2C leans on self-serve onboarding, deflection, and churn save flows.

**Q: What is the implementation effort?**

A: Two-week diagnostic, 4–6 week build. Support deflection ships first; CS dashboards and onboarding flows follow. Most teams contribute 5–10 engineering hours total during the build.

**Q: How do you handle PII and customer data?**

A: No cross-tenant training. SOC 2 Type II baseline. Data residency options where required. Customer data stays in your environment; we orchestrate.

#### AI Automation for Auto Dealerships

URL: https://www.scooperai.com/ai-automation-for-auto-dealerships

Last updated: Apr 29, 2026

**Subhead:** BDC volume that humans can't match. Service bay always full.

**Description:** AI automation for car dealerships — 24/7 BDC, service booking, recall outreach, trade-in intake. Lead response under 60 seconds, +30% appointment-set rate.

**Keywords:** AI for car dealerships, dealership BDC automation

##### Where the hours go

- **Lead response speed wins or loses appointments.** Inbound digital lead. 60-second response sets an appointment 4× more often than a 5-minute response. The BDC was never going to hit that on a Sunday.
- **BDC scaling is expensive and high-turnover.** Hire, train, retain. Each BDC rep takes 90 days to ramp and 18 months to leave. The math never works.
- **Service booking is on the phone.** Customers want to book service online. They get a form that emails the service desk. Service desk calls back. Customer already booked elsewhere.
- **Recall outreach is sporadic.** Open recalls per VIN exist. The campaign to reach them is whoever has time this month. Service revenue lives in those VINs.

##### What we build

- **AI BDC for sales leads.** 24/7 SMS + chat that responds in under 60 seconds, qualifies, and books test drives. Sales appointments climb without BDC headcount.
- **Service appointment booking bot.** Self-serve booking with vehicle selection, service type, advisor routing. Service-bay capacity becomes data, not guesswork.
- **Recall outreach campaigns.** Open-recall VINs cross-referenced with customer database. Personalized SMS + email outreach with one-tap booking.
- **Trade-in valuation intake.** Customer-facing trade intake with KBB pull, VIN-decode, photo capture. Sales walks into the conversation with a number, not an empty form.
- **Test drive scheduling.** Calendar coordination across customer, advisor, and vehicle. Confirmations and reminders run automatically.
- **Post-sale review and referral flows.** Review ask at delivery + 30 days. Referral ask at 60 days. Reviews go up; referral pipeline becomes a channel.
- **Inventory match notifications.** Customer wishlist tracked against inbound inventory. New arrival → instant SMS to matched buyers.

##### Tools we plug into

VinSolutions, DealerSocket, CDK, Reynolds & Reynolds, Elead.

##### Outcomes / ROI

> Lead response under 60 seconds, 24/7. Appointment-set rate up 30%. Recall outreach becomes a channel that pays for the agent on its own.

Headline numbers:

- **<60s** — lead response 24/7
- **+30%** — appointment-set rate
- **24/7** — service-bay self-serve

##### Real engagement (anonymized)

A 5-rooftop dealer group selling 4,200 vehicles annually had a BDC of 14 people and weekend response gaps. We shipped the AI BDC in five weeks. Lead-to-appointment conversion climbed 32%, the BDC team shifted to qualified-call work, and the next acquired rooftop did not need a new BDC headcount.

##### Frequently asked questions

**Q: Does it work with VinSolutions or DealerSocket?**

A: Yes — both, plus CDK, Reynolds & Reynolds, and Elead. Lead routing, customer records, and appointment data flow back into your CRM/DMS.

**Q: Can it handle sales and service?**

A: Yes. Different recipes per department. Sales gets BDC + trade intake + test drive scheduling. Service gets booking + recall + advisor routing. One platform, two workflows.

**Q: How does it qualify trade-in leads?**

A: KBB API integration, VIN decoding, photo capture, condition questions. Sales gets a structured record with a defensible valuation range before the customer walks in.

**Q: What about compliance with auto industry rules?**

A: TCPA-aware messaging, opt-out handling, and disclosure language built into outbound flows. The bot identifies as AI per state law where required.

**Q: How fast can we go live?**

A: Two-week diagnostic, 4–6 week build. AI BDC ships first, usually by week four. Service booking and recall outreach follow.

#### AI Automation for Travel Agencies

URL: https://www.scooperai.com/ai-automation-for-travel-agencies

Last updated: Apr 29, 2026

**Subhead:** Itineraries, supplier coordination, client communication — handled.

**Description:** AI automation for travel agencies — itinerary drafts, supplier coordination, 24/7 trip support, lead intake. Itinerary build time down 60%.

**Keywords:** AI for travel agencies, travel booking automation

##### Where the hours go

- **Itinerary building is hours per booking.** A 12-night Italy trip is hotels, flights, drivers, museum tickets, restaurants — built by hand. The advisor's margin is the time they did not bill.
- **Supplier coordination across 5–10 vendors.** Hotel hold confirmation, transfer driver, activity supplier, sommelier dinner. Email, WhatsApp, phone, fax. The advisor is the integration layer.
- **Client communication during trips is reactive.** Client texts at 11pm local: "the room is wrong." Advisor wakes up. Hotel responds in the morning. The client is already upset.
- **Lead inquiries pile up overnight.** Inbound from website, Instagram, referrals. Advisor responds when they can. Half the leads are with another agency by then.

##### What we build

- **Itinerary draft generator.** Client brief + budget + interests → drafted itinerary with hotel, flight, driver, and activity recommendations. Advisor edits and personalizes; build time drops from 6 hours to 2.
- **Supplier coordination workflow.** Per-trip supplier dashboard with confirmations, payments, and follow-ups. Advisor sees the whole trip at a glance, not 11 email threads.
- **Client portal with trip status and docs.** Confirmations, vouchers, day-of details, contact numbers — all in one client-facing app. Clients stop emailing for documents.
- **24/7 trip support agent.** In-trip client questions handled in the client's language with supplier escalation when needed. Advisor sleeps; clients still feel cared for.
- **Lead intake bot with qualification.** Inbound leads captured, qualified, and triaged in under 60 seconds. Advisor sees the right leads first, in the right order.
- **Post-trip review and referral request.** Branded post-trip outreach with review ask + warm-intro referral request. Travel referral conversion runs 25%+; you should be asking.
- **Supplier commission tracking.** Auto-pulled commissions across IATA, hotel programs, and DMC partners. Reconciliation goes from a Friday job to a daily auto-update.

##### Tools we plug into

Travelport, Sabre, Amadeus, TravelJoy, Tern, ClientBase.

##### Outcomes / ROI

> Itinerary build time down 60%. Lead response 24/7 in the client's language. Advisors stop being the integration layer between five suppliers.

Headline numbers:

- **–60%** — itinerary build time
- **24/7** — in-trip client support
- **<60s** — lead response

##### Real engagement (anonymized)

A boutique luxury travel agency with 6 advisors was capping out at 220 trips a year. Diagnostic showed itinerary building and supplier coordination as 51% of advisor time. We shipped the itinerary generator and supplier dashboard in six weeks. The same six advisors planned 312 trips the following year, and the client NPS climbed because the in-trip support stopped depending on which advisor was on vacation.

##### Frequently asked questions

**Q: Does it work with Sabre or Amadeus?**

A: Yes — both, plus Travelport. GDS bookings, fare data, and PNR records flow through the workflow. We do not replace your GDS workstation.

**Q: Can it handle multi-language client comms?**

A: Yes — Spanish, French, Italian, German, Mandarin out of the box. The advisor sees everything in English; clients see comms in their language.

**Q: How does it source supplier rates?**

A: GDS for air and major hotel chains, your DMC and supplier agreements for the rest. The bot does not negotiate; it captures, organizes, and tracks.

**Q: What about luxury vs budget travel differences?**

A: Recipes diverge. Luxury gets bespoke itineraries, white-glove in-trip support, and commission tracking. Budget gets faster lead handling, group-booking automation, and post-trip referral flows.

**Q: How fast can we go live?**

A: Two-week diagnostic, 4–6 week build. Itinerary generator and lead intake ship first, usually by week four. Supplier coordination and 24/7 support follow in weeks five and six.
